Panorama City, CA 91402 Job Type: Full\-Time Schedule: Monday–Friday, 8:30 AM–5:00 PM Pay: $26\.00 per hour Work Location: In person Position Summary Loyal Care At Home, Inc. is seeking a dependable, organized, and detail\-oriented HR \& Payroll Assistant / Administrator to join our team. This is an important role supporting the day\-to\-day operations of our Human Resources and Payroll Department. The ideal candidate will assist with payroll processing, employee onboarding and offboarding, personnel records, credential tracking, benefits administration, recruiting support, compliance documentation, and employee follow\-up. We are looking for someone who is highly organized, takes ownership of assigned responsibilities, notices when something is missing, and follows through without needing repeated reminders. Because we are a healthcare organization, accuracy, confidentiality, professionalism, and attention to deadlines are extremely important. The HR \& Payroll Assistant / Administrator will work closely with management to ensure employee records, payroll information, onboarding documentation, credentials, and HR files remain complete, accurate, organized, and current. Duties and ResponsibilitiesPayroll Administration Assist with preparation and processing of semi\-monthly payroll Review payroll reports for accuracy and completeness Verify employee names, hours, rates, visit/activity information, totals, and supporting documentation Review timekeeping records and identify missing or incomplete entries Track payroll corrections, adjustments, and outstanding items Maintain payroll checklists and supporting records Assist with employee pay\-rate and employment\-status updates Assist with final\-pay documentation for separating employees Respond to routine employee payroll questions Research payroll discrepancies and bring exceptions to management for review before payroll is finalized Maintain accurate and confidential payroll records Assist with payroll processing through ADP and company systems Human Resources Administration Prepare and maintain employee personnel files Ensure HR files contain required documentation Review employee files for missing, incomplete, or expired documents Follow up with employees regarding outstanding HR requirements Prepare employee letters, notices, acknowledgments, and other HR correspondence Assist with employee status changes and personnel updates Assist with disciplinary and performance\-related documentation as directed by management Prepare separation and offboarding paperwork Maintain organized electronic and physical employee records Track annual employee requirements and evaluations Maintain strict confidentiality of employee and company information New\-Hire Onboarding Coordinate new\-hire onboarding documentation Send required employment and credentialing forms to new employees Review completed onboarding documents for accuracy and completeness Follow up on missing forms and required documentation Assist with employee setup in payroll and company systems Assist with I\-9 and other employment\-documentation processes Coordinate onboarding requirements with management and appropriate departments Maintain onboarding checklists and track employees through completion Assist with employee orientation and communication of company procedures Credentialing and Compliance Maintain credential and compliance tracking for clinical and office employees Track professional licenses, certifications, CPR, TB testing, physical examinations, auto insurance, background checks, and other required documentation Monitor expiration dates and follow up with employees before credentials expire Assist with monthly credential\-expiration reports Assist with OIG and other required compliance checks Maintain accurate credential records in company systems Communicate missing or expired documentation to employees and management Assist management with determining when employee files are complete and ready for clearance Help ensure employee documentation remains compliant with company policies and applicable healthcare requirements Benefits and Leave Administration Support Assist employees with routine benefits\-related questions Maintain benefits enrollment and employee\-status documentation Assist with health insurance and retirement\-plan administrative processes Maintain documentation related to employee leave requests Assist management with tracking protected and company\-approved leave as applicable Maintain confidential benefits and leave records Refer complex benefits or leave matters to management or the appropriate provider Recruiting and Hiring Support Assist with job postings and recruiting activities Review incoming applications and resumes Coordinate interviews with candidates and management Maintain applicant and interview records Communicate with candidates regarding interview scheduling and next steps Assist with offer\-letter preparation and pre\-employment documentation Support the transition from candidate to new\-hire onboarding Employee Relations and HR Support Serve as a professional point of contact for routine employee HR and payroll questions Assist with employee follow\-up regarding documentation, deadlines, policies, and payroll matters Maintain professional and respectful communication with employees Document employee communications when appropriate Escalate employee\-relations concerns to management Maintain confidentiality when handling sensitive employee information Reporting and Administrative Support Maintain HR and payroll spreadsheets, trackers, and checklists Generate and review reports for payroll, credentials, employee files, and other HR activities Use Microsoft Excel to organize and review employee and payroll information Scan, upload, name, and organize documents accurately Monitor HR and payroll\-related emails and assist with timely follow\-up Prepare letters, reports, forms, and internal communications Help ensure HR and payroll projects remain organized and on schedule Assist with audits, employee\-file reviews, and compliance preparation as needed Perform additional HR, payroll, and administrative duties as assigned Qualifications Prior experience in Human Resources, Payroll, Office Administration, Healthcare Administration, or a related field preferred Payroll experience strongly preferred Experience working in a home health, healthcare, medical\-office, or regulated environment is highly desirable Experience with ADP or another payroll/HRIS platform preferred Experience with Data Soft Logic (DSL) is a plus but not required Experience with applicant tracking, onboarding, employee records, or credentialing is preferred Strong Microsoft Excel, Word, Outlook, and general computer skills Comfortable working with spreadsheets, reports, employee files, and detailed documentation Working knowledge of HR practices and employment\-law compliance Ability to learn and follow established company policies and procedures Excellent organizational and follow\-up skills Strong attention to detail and accuracy Ability to manage multiple priorities and deadlines Strong written and verbal communication skills Ability to maintain strict confidentiality Dependable, punctual, and professional Ability to work independently after training while knowing compliance requirements Understands that accurate documentation and timely follow\-up are critical in a healthcare environment Schedule Full\-Time Monday through Friday 8:30 AM–5:00 PM 30\-minute meal period This is an in\-office position located in Panorama City, California.
