Job Title: Receptionist Job Summary: The Receptionist serves as the primary point of contact for shareholders, visitors, tenants, vendors, and contractors, creating a welcoming and professional first impression of Sealaska Corporation. This position plays a key role in supporting Shareholder Relations by providing responsive customer service, assisting shareholders with inquiries and records\-related requests, maintaining accurate information in the Shareholder Information System (SIS), and supporting shareholder outreach and communications. In addition to shareholder\-facing responsibilities, the Receptionist supports daily administrative and operational functions for Sealaska Plaza, coordinating with the Office Manager and property management partners to help maintain a safe, clean, and efficient workplace environment. This position requires exceptional customer service skills, attention to detail, professionalism, and the ability to balance front desk responsibilities with administrative support and shareholder service activities. This role will onsite at the Sealaska Juneau office. Duties/Responsibilities: Greet and welcome shareholders, visitors, tenants, vendors, and contractors in a friendly, professional manner. Serve as the primary point of contact for incoming telephone calls, emails, mail, faxes, and walk\-in inquiries. Answer and direct incoming calls promptly and accurately, routing inquiries to the appropriate department or staff member. Maintain a clean, organized, and professional reception area. Respond to routine shareholder inquiries and direct more complex questions to Shareholder Relations staff. Take and relay messages for Shareholder Relations staff and maintain the Shareholder Relations phone lines. Communicate with shareholders in person, by telephone, email, and mail correspondence regarding shareholder records, policies, procedures, forms, and available programs. Process shareholder verification requests from government and tribal agencies. Enter, update, scan, and maintain shareholder information and records in the Shareholder Information System (SIS). Process returned mail, distribution checks, IRS forms, proxy materials, and other shareholder correspondence as assigned. Scan, file, organize, and maintain electronic and physical shareholder and corporate records. Assist with shareholder outreach initiatives, meetings, educational programs, and special events as needed. Sort and distribute incoming mail, packages, emails, and faxes to the appropriate departments. Assist Office Manager with coordinating conference room reservations and scheduling. Register visitors for parking and coordinate visitor access with security as needed. Maintain employee directories, phone lists, organizational contact lists, parking lists, and other administrative records. Provide general administrative support including data entry, filing, document preparation, record maintenance, and report generation. Monitor and maintain office and cleaning supply inventories and submit replenishment requests as needed. Assist with purchase requests, supply orders, and administrative tracking duties. Support the Office Manager and contracted property management team in the day\-to\-day operations of Sealaska Plaza. Report facility issues requiring immediate attention, including security concerns, maintenance requests, equipment malfunctions, parking issues, and building safety matters. Help ensure a safe, clean, and comfortable environment for employees, tenants, shareholders, and visitors. Maintain confidentiality of shareholder, employee, and corporate information. Cross\-train with Shareholder Relations staff and provide backup support for departmental functions as needed. Perform other related duties and special projects as assigned. Required Skills/Abilities: Excellent attendance and high degree of reliability. Good telephone etiquette and the ability to deal with all types of callers and visitors in a professional manner. Ability to prioritize work, to be self\-motivated, and to work under pressure. Ability to deal with highly sensitive information and maintain confidentiality. Ability to operate Polycom phone system, computers, and other standard office equipment. Knowledge and ability to organize and maintain paper and electronic computer files. Excellent computer skills and deep knowledge of Microsoft Office Suite. Must have good organizational skills. Must be accurate, detailed and thorough, with good communication and writing skills. Ability to work as part of a team. Education and Experience: High School diploma and/or a minimum of one year experience in a telephone service and/or customer service position. Some lifting of files, opening cabinets. Bending or standing as necessary. Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times. Work Environment: Position is sedentary with prolonged periods of standing, bending, sitting, and kneeling.
