Job Overview We are seeking a proactive, organized, and personable Administrative Assistant to provide administrative and organizational support to the Executive Director while helping ensure smooth and efficient day\-to\-day office operations. The ideal candidate is detail\-oriented, tech\-savvy, professional, and comfortable managing multiple priorities in a friendly, fast\-paced environment. This position will involve a variety of administrative, clerical, scheduling, customer service, and office\-management responsibilities. Hospitality industry experience is a plus, but not required. We welcome candidates from a variety of professional backgrounds who have strong organizational skills, a positive attitude, excellent communication abilities, and a willingness to learn. Key Responsibilities Provide direct administrative and organizational support to the Executive Director Manage and coordinate the Executive Director's calendar, appointments, meetings, and commitments Assist with scheduling, meeting coordination, and follow\-up on important tasks and deadlines Manage front desk responsibilities, including greeting visitors and answering multi\-line phone systems with professionalism and courtesy Answer, screen, and direct phone calls and respond to emails and routine inquiries Provide excellent customer service by responding to clients, customers, vendors, and other contacts promptly and professionally Maintain organized digital and physical filing systems to ensure documents and information are easily accessible Perform accurate data entry using Microsoft Office, spreadsheets, databases, and other productivity software Prepare, format, proofread, and edit correspondence, reports, presentations, forms, and other documents Assist with office management, including ordering supplies, monitoring inventory, and maintaining an organized office environment Coordinate with staff, vendors, customers, and business contacts as needed Assist the Executive Director with special projects, research, and administrative tasks Help track projects, follow\-up items, deadlines, and other priorities Handle confidential and sensitive information with professionalism and discretion Operate standard office equipment and assist with general administrative needs Perform other duties and responsibilities as assigned Qualifications \& Requirements Previous experience in administrative support, office management, executive assistance, customer service, front desk, or a related role preferred Strong organizational and time\-management skills Excellent verbal and written communication skills Professional, friendly, and courteous demeanor Strong attention to detail and accuracy Ability to multitask, prioritize responsibilities, and meet deadlines Ability to work independently while also functioning effectively as part of a team Strong computer literacy and comfort learning new technology and software Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook Familiarity with Google Workspace and other productivity tools is a plus Experience with QuickBooks or similar accounting software is a plus Excellent phone etiquette and ability to operate a multi\-line phone system Strong data entry, file management, and general office technology skills Previous customer service or front desk experience preferred Ability to maintain confidentiality and exercise good judgment High school diploma or equivalent preferred Hospitality Experience Hospitality industry experience is a plus, but not required. Candidates with experience in hotels, restaurants, event management, venues, customer service, or other hospitality\-related environments are encouraged to apply. Hospitality experience can be valuable in this role because of the importance of professionalism, communication, customer service, organization, and the ability to work effectively in a fast\-paced environment.
