Horse Plus Humane Society is seeking a friendly, organized, dependable Receptionist/Administrative Assistant to help keep our front office running smoothly and ensure every person who contacts Horse Plus receives excellent service. This position is often the first voice someone hears when they call Horse Plus and one of the first faces they see when they visit our shelter. We are looking for someone who is professional, compassionate, comfortable speaking with the public, and able to stay organized in a busy animal shelter environment. Primary ResponsibilitiesPhones \& Front Office Answer incoming phone calls in a friendly and professional manner. Assist callers with general questions and direct calls to the appropriate staff member or department. Take clear, accurate messages and ensure they reach the appropriate person. Greet visitors, donors, adopters, volunteers, and other guests arriving at the shelter. Help maintain a welcoming, organized, and professional front office. Assist with general administrative and clerical duties as needed. Donor Support Assist supporters who wish to make donations over the phone. Accurately enter and process donor information and gifts using Horse Plus systems. Answer basic donor questions and provide excellent customer service to our supporters. Ensure donor information is handled accurately and confidentially. Direct more complex donor questions or concerns to the Development Department. Help ensure every donor interaction reflects how important our supporters are to the mission of Horse Plus. Scheduling Manage and coordinate appointments using Horse Plus's scheduling system. Schedule surrender, adoption, tour, volunteer, and other appointments according to established procedures. Help coordinate staff calendars and schedules as assigned. Confirm appointments and communicate scheduling information clearly with the public and staff. Maintain accurate records and communicate schedule changes to the appropriate departments. Inventory \& Supplies Maintain inventory records for office, shelter, and other assigned supplies. Monitor inventory levels and identify items that need to be reordered. Receive deliveries and ensure supplies are distributed or stored appropriately. Help keep supply areas organized. Assist management with maintaining accurate inventory counts and records. What We're Looking For The right person for this position is someone who is organized, friendly, dependable, and comfortable juggling multiple responsibilities at once. They should be able to communicate professionally with people from many different backgrounds while remaining calm and compassionate—even when conversations are difficult or emotional. Ideal candidates will have: Strong verbal and written communication skills. Excellent customer service skills. Strong attention to detail and organization. Basic computer and data\-entry skills. Ability to learn new software and scheduling systems. Ability to accurately handle sensitive donor and financial information. Ability to prioritize tasks and work independently. Professional phone etiquette. Dependability and good judgment. Ability to maintain confidentiality. A positive attitude and willingness to help wherever needed. Previous receptionist, administrative assistant, customer service, nonprofit, veterinary, or animal shelter experience is helpful but not required. Working at Horse Plus Horse Plus Humane Society is a fast\-moving animal welfare organization. Some days are predictable. Other days aren't. The person in this position needs to be comfortable working in an environment where priorities can change quickly and where teamwork matters. You may interact with people surrendering animals, families adopting, donors supporting our work, veterinarians, vendors, volunteers, and members of the public—all in the same day. Compassion for both people and animals is essential. This position plays an important role behind the scenes in helping our shelter operate efficiently so our team can stay focused on rescuing, sheltering, protecting, and finding homes for animals in need.
