Job Summary We are seeking an energetic and highly organized Personal Assistant to support executive leadership with a wide range of administrative, project coordination, and office management tasks. Responsibilities Manage and coordinate complex calendars, scheduling meetings, appointments, and business travel arrangements. Handle internal communication efficiently, ensuring timely dissemination of information across departments. Assist with event planning and organizing company events, conferences, and team activities from start to finish. Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy and attention to detail. Oversee office operations including filing, data entry, bookkeeping using QuickBooks or similar software, and managing office supplies. Facilitate project coordination by tracking deadlines, preparing agendas, and collaborating with teams to ensure project milestones are met. Maintain confidentiality when handling sensitive information and exercise professional phone etiquette during interactions with clients and stakeholders. Utilize productivity software such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and video conferencing tools like Zoom or Microsoft Teams for seamless virtual meetings. Support executive administrative needs through efficient calendar management using Microsoft Outlook Calendar or similar tools. Assist with business travel arrangements including booking accommodations, transportation, and preparing itineraries. Qualifications Proven experience as a Personal Assistant or Executive Assistant supporting C\-suite executives or senior management. Strong organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment. Excellent written and verbal communication skills for internal collaboration and external interactions. Proficiency in Microsoft Office Suite, Google Workspace, QuickBooks, and video conferencing software. Demonstrated experience in event planning, office management, bookkeeping, data entry, and clerical tasks. Ability to handle confidential information discreetly while maintaining professionalism at all times. Technical proficiency in managing multi\-line phone systems, Docusign for electronic signatures, and other productivity tools. Exceptional typing speed combined with proofreading skills to ensure error\-free documentation. Flexibility to adapt to changing priorities while maintaining a positive attitude and proactive approach.
