Position Summary The Education Department Administrative Assistant provides administrative, technical, and organizational support to the Education Department. This role helps coordinate meetings, trainings, events, educational materials, and communications while ensuring the department remains organized and on track. The ideal candidate is proactive, detail\-oriented, tech\-savvy, and enjoys working with both staff and volunteers. Essential Functions Provide daily administrative support to the Education Manager and Michigan Education Coordinator. Coordinate meetings, trainings, conferences, and special events. Track RSVPs, meeting preparations, and follow\-up activities. Create and update flyers, memos, programs, name tags, training materials, and other documents. Assemble and distribute educational resources, manuals, and meeting materials. Maintain organized electronic filing systems. Perform general clerical duties, including filing, copying, mailing, scanning, and data entry. Assist with virtual meetings, presentations, and department technology needs. Help keep educational materials organized and maintain inventory. Communicate effectively with volunteers, staff, and members. Attend and assist with educational meetings and events as needed. Keep supervisors informed on assigned projects and deadlines. Perform other duties as assigned by the Education Manager and/or Michigan Education Coordinator. Work environment Education Department Administrative Assistant generally works in an office environment. Physical demands This position requires sitting at a desk for extended periods of time and a significant amount of time on the phone. Must be able to push/pull/lift up to 50 pounds Requires standing and/or walking for extended periods of time Travel required Reliable transportation. May need to travel to co\-ops, conferences, and off\-site meetings as assigned by supervisor. Qualifications Strong technical computer skills, including Microsoft Office (Word, Excel, PowerPoint, Outlook, and Teams). Excellent organizational, communication, and time management skills. Ability to work independently and as part of a team. Strong attention to detail and ability to meet deadlines. Positive attitude with excellent customer service and interpersonal skills. Experience working with volunteers and diverse groups preferred. Video editing and multimedia experience preferred. Required education and experience High School Degree 1\-3 years' related administrative experience Work authorization/security clearance requirements Department of Homeland Security (DHS) regulation requires all employees—citizens, residents, and nonresidents—to complete Form I\-9 Employment Eligibility Verification. Employees are not allowed to work in the United States until the Form I\-9 is completed and properly documented.
