About the Role We are looking for a highly organized Administrative Coordinator who believes in that mission and wants to help us deliver it. This person will sit at the center of a growing photography studio and help keep clients, schedules, information and team priorities moving. This is not a position for someone who wants to wait for a daily list of tasks. We are looking for someone who notices what needs attention, follows through, asks good questions, solves problems and enjoys creating order behind the scenes. "I already handled it." The Schedule This role runs on weekday daytime hours, roughly 9:00 to 2:00, Monday through Friday. We are flexible on exact start and end times for the right person. We built it this way on purpose. We wanted a role someone could hold without giving up their afternoons or the rest of their life. What You'll OwnScheduling \& Calendar Management Manage and maintain studio calendars and appointments Confirm sessions, reveals, consultations and meetings Coordinate schedule changes and rescheduling Help maintain staff schedules and important deadlines Make sure upcoming weeks are organized before they become urgent CRM \& Client Administration Maintain accurate client records inside our CRM Keep opportunities, stages, tags, notes and tasks updated Make sure forms, questionnaires, contracts and appointments are complete Follow established workflows for routine client communication Identify missing information or clients who need follow\-up Help keep leads and clients from slipping through the cracks Communication \& Follow\-Up Monitor and organize routine email and client communication Respond to administrative questions using established studio policies Follow up with clients, vendors and team members when information is outstanding Bring leadership clear information when a decision is needed Studio \& Team Administration Prepare information needed for recurring team meetings Track outstanding tasks and deadlines Maintain administrative documents, spreadsheets and records Assist with vendor coordination and business memberships Help organize receipts and records needed for bookkeeping or payroll Maintain and improve administrative checklists and procedures Protecting the Owner's Attention This one matters as much as the rest combined. When something goes sideways, we do not want it forwarded. We want it investigated. Solve what you have the authority to solve, then come to the owner with what happened, what you found, what you recommend, and the one decision you actually need. What Success Looks Like The calendar is accurate and appointments are confirmed Client records are complete and current Follow\-ups happen and deadlines don't quietly disappear Routine questions get handled without involving the owner The team always knows what's outstanding Repetitive processes turn into documented systems Who We're Looking For You are: Someone who genuinely connects with our mission of helping women build confidence and self\-acceptance Extremely organized and comfortable managing several priorities at once A strong written communicator, warm and professional with clients Quick to pick up new technology and systems Able to work independently once expectations are clear Someone who follows through without repeated reminders Willing to investigate and problem\-solve before handing something off Trustworthy with confidential client and business information Experience with CRM systems, Google Workspace, online calendars, spreadsheets or project\-management software is strongly preferred. Experience in photography is not required. Experience supporting a small business, entrepreneur, professional service company, studio, salon, medical office, event company or similarly fast\-moving environment would be especially helpful.
