Through a variety of programs, we serve over 3,000 individuals annually, providing vital services such as adult day care, caregiver education, early memory loss support, and access to health equipment. Job Overview We are seeking an energetic and detail\-oriented Bookkeeper \- Payroll Clerk to join our team! In this vital role, you will manage financial record\-keeping, process payroll accurately, and ensure compliance with accounting standards. Your expertise will help us maintain precise financial data that supports our mission to serve the community effectively. ESSENTIAL DUTIES AND RESPONSIBILITIES · Financial recordkeeping: Accurately record and allocate income, expenses, and other financial activity in QuickBooks Online. · Vendor and customer management: Reconcile vendor accounts, review balances, and resolve discrepancies keeping vendor and customer correct and current. · Payroll processing: Process biweekly payroll in Paycom, including employee setup, paid time off tracking, deductions, and related payroll updates. · Journal entries and liability tracking: Prepare some recurring and adjusting journal entries to keep prepaid expenses and payroll liability accounts balanced. · Accounts payable and receivable: Record invoices, payments, and receivables; allocate expenses to the correct accounting codes; and follow up on overdue accounts as needed. · Invoice management: Prepare, process, and track invoices for tenants, funding sources, vendors, and other stakeholders. · Credit card reconciliation: Reconcile credit card statements and credit card activity against internal records, identifying and resolving discrepancies promptly. · Expense and reimbursement tracking: Track, record, and process credit card expenses and reimbursements from government funders. · Payment Requests: Assist with preparing payment requests with various government funding sources, such as Medicaid, VA, and Fee for Service. · Relationship management: Maintain professional, responsive communication with vendors, tenants, funding sources, internal staff, and other partners. · Other duties as assigned. QUALIFICATONS Education: High school diploma or equivalent required; associate degree or certificate in bookkeeping, accounting, finance, or related field preferred. Experience: Two to three years of experience as a bookkeeper, payroll clerk, or in an equivalent accounting support role in a nonprofit organization with multiple funding sources. · Required systems experience: Working knowledge of QuickBooks Online Advanced and Paycom. · Preferred experience: Familiarity with government funding payment sites is a plus. LANGUAGE SKILLS Strong written and verbal communication skills, with the ability to communicate clearly, professionally, and respectfully with individuals who may use different language styles or levels of fluency. PHYSICAL DEMANDS position requires the ability to perform routine office\-related physical activities, including the following: · Regular activities: Sitting, walking, using hands to handle or feel objects, talking, hearing, and using the senses of taste or smell as needed. · Frequent activities: Standing and reaching with hands and arms. · Occasional activities: Lifting and/or moving up to 20 pounds, stooping, kneeling, or crawling. · Vision requirements: Close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. SKILLS and ABILITIES · Organization and time management: Plans, organizes, and manages multiple priorities effectively while meeting strict deadlines. · Multitasking and prioritization: Handles competing responsibilities with accuracy, focus, and sound judgment. · Independent work: Works independently with minimal supervision while maintaining accountability for assigned tasks. · Team collaboration: Works successfully with a diverse team and communicates professionally across departments. · Confidentiality: Maintains the confidentiality of sensitive financial, employee, and organizational information.
