Executive Assistant to the CEO Role Overview We’re looking for a detail\-oriented, extremely organized, resourceful Executive Assistant to support the CEO and keep the day\-to\-day running smoothly. This role goes beyond managing a calendar: you’ll anticipate needs, bring structure to competing priorities, and help the CEO stay focused on the work that matters most. The ideal candidate is a clear communicator who exercises good judgment, handles sensitive information with discretion, and takes ownership from start to finish. You’re comfortable working independently, asking thoughtful questions, and adapting when priorities change. Key Responsibilities Manage the CEO’s time and priorities · Own a dynamic calendar, balancing meetings, focused work, travel, and shifting priorities. · Evaluate scheduling requests, resolve conflicts, and make thoughtful recommendations about how to use the CEO’s time. · Keep the CEO informed of upcoming commitments, deadlines, and decisions that need attention. Support communication and relationships · Help organize and prioritize email and other communications, flagging urgent items and drafting responses as appropriate. · Serve as a responsive, professional point of contact for internal team members and external partners. · Prepare correspondence, presentations, and other materials with accuracy and attention to detail. Create structure and improve how work gets done · Create and maintain organized administrative systems and processes. · Build simple, repeatable processes that reduce back\-and\-forth and make daily work easier. · Support research and special projects. · Handle confidential business, human resources, and personal information with complete discretion. Keep on top of To\-Do’s and keep deliverables \& tasks on track · Coordinate meetings and ensure agendas, relevant documents, and preparation materials are ready in advance. · Capture key decisions and action items when needed, and track owners and deadlines. · Follow up thoughtfully to keep commitments moving and prevent important details from being missed. Coordinate travel and administrative needs · Arrange travel, accommodations, transportation, and create clear itineraries. · Manage expense reports and related administrative tasks. · Coordinate logistics for leadership meetings, team gatherings, and other events as needed. Minimum Qualifications · 10\+ years experience supporting a CEO, founder, or senior executive in an executive assistant role. · Strong organizational skills and the ability to manage multiple priorities without losing track of details. · Excellent written and verbal communication skills. · Sound judgment about what to handle independently, what to flag, and when to ask for clarification. · A proactive approach: you anticipate needs, identify potential issues, and bring practical solutions. · Reliable follow\-through and a strong sense of ownership and accountability. · Comfort working remotely and building effective relationships across internal teams and clients. · Proficiency with MS products, calendar, email, presentations, and video conferencing tools, plus a willingness to learn new systems. · Complete discretion, professionalism, and respect for confidential information and matters. Location and Working Hours This is a full\-time, remote position with working hours aligned to Pacific Time. We prefer candidates based in the Los Angeles area and welcome candidates in other Pacific Time locations.
