We are seeking a highly experienced, professional, organized, proactive, and dedicated Resource Coordinator Supervisor to lead and oversee our Resource Coordinator team. This is a senior\-level, hands\-on supervisory position with significant responsibility for the day\-to\-day operations of our Resource Coordinator and Field Services teams. The Resource Coordinator Supervisor provides direct leadership, supervision, training, support, and accountability to the Resource Coordinator team. Our Resource Coordinators collectively coordinate, monitor, supervise, and support approximately 300 field employees providing services to individuals with developmental disabilities. The successful candidate must be an experienced leader who can effectively manage employees, establish accountability, handle escalated situations, audit high volumes of information, communicate professionally with clients, families, and employees, and make sound independent decisions in a very fast\-paced environment with tight deadlines and changing priorities. THIS IS NOT AN ENTRY\-LEVEL OR FIRST\-TIME SUPERVISORY POSITION. A MINIMUM OF 10\+ YEARS OF RELEVANT PROFESSIONAL EXPERIENCE IS REQUIRED. Primary Responsibilities The responsibilities listed below are not intended to be all\-inclusive. The employee may perform other related duties as needed and assigned. Leadership \& Supervision Directly supervise, lead, mentor, train, and support the Resource Coordinator team Provide leadership and operational oversight affecting approximately 300 field employees Monitor Resource Coordinator performance, productivity, workload, attendance, documentation, communication, follow\-up, and completion of assigned responsibilities Establish priorities and ensure assignments and deadlines are completed accurately and timely Hold Resource Coordinators accountable for performance expectations, company policies, procedures, documentation, and assigned responsibilities Provide ongoing coaching, training, instruction, and performance feedback Assist with employee performance evaluations Identify performance concerns and ensure appropriate follow\-up Conduct regular meetings and individual follow\-up with Resource Coordinators Review departmental workload and redistribute or prioritize assignments when necessary Ensure Resource Coordinators are effectively supervising, communicating with, and supporting their assigned field employees Promote professionalism, teamwork, accountability, and consistent application of company policies and procedures Communicate significant operational, employee, client, or compliance concerns to management in a timely manner Client \& Field Staff Operations Serve as a primary escalation point for matters that cannot be resolved at the Resource Coordinator level Assist with escalated client, family, employee, staffing, scheduling, attendance, documentation, and operational concerns Monitor field staff operations and ensure appropriate policies and procedures are followed Provide guidance regarding employee performance, attendance, conduct, scheduling, documentation, and client\-related concerns Monitor staffing needs, employee availability, call\-offs, client service concerns, and other operational issues Ensure field employees have the proper documentation, information, and equipment necessary to complete assigned services Verify required field documentation is completed accurately and submitted within established guidelines Assist with resolving unexpected staffing and scheduling issues Maintain effective communication between Resource Coordinators, field employees, clients/families, management, and external partners Be a professional resource for staff, clients, families, and agency partners Communication \& Customer Service Oversee and assist with high\-volume incoming and outgoing communications Ensure calls and significant communications are properly documented with detailed and accurate notes Compose, review, and respond to professional emails and other work\-related communications Handle difficult or sensitive client, family, and employee conversations professionally Maintain excellent telephone etiquette Ensure client, employee, and partner communications receive appropriate and timely follow\-up Build and maintain strong professional relationships with management, office staff, field staff, clients, families, and external partners Communicate clearly, professionally, and effectively in both English and Spanish Quality Assurance, Auditing \& Compliance Audit high volumes of client, employee, service, and operational information for accuracy and completeness Maintain and oversee detailed, accurate, and up\-to\-date records Identify missing, inaccurate, late, or incomplete documentation and ensure timely correction Review weekly reports and follow up on discrepancies and outstanding items Ensure company policies, procedures, service requirements, and applicable regulatory requirements are followed Facilitate clarification of company policies and procedures when necessary Maintain confidentiality of client and employee information Ensure compliance with HIPAA and company confidentiality requirements Ensure injuries, accidents, incidents, complaints, and other reportable matters are documented and reported in a timely manner Assist management with investigations and collection of documentation when necessary Immediately escalate significant compliance, safety, employee, or client concerns to appropriate management Ensure assigned corrective actions and follow\-up items are completed Maintain high standards for accuracy, professionalism, and accountability throughout the department Hiring, Onboarding \& Training Assist with interviewing and hiring activities as assigned Understand and oversee applicable portions of the employee onboarding process Meet with potential and newly hired employees as necessary Clearly explain hiring and onboarding requirements Review onboarding paperwork for completeness and accuracy Assist employees with properly completing required onboarding documentation Assist with employee orientation and training Ensure employees understand applicable company policies and procedures Verify required documentation and training are completed Collaborate with management regarding staffing, training, and operational needs Attend and assist with training events as requested Administrative \& Operational Responsibilities Maintain detailed and accurate electronic and physical records Complete weekly reports and other management reports as assigned Schedule and confirm meetings Attend meetings in and outside the office as necessary Complete special projects and assignments as directed by management Attend regular staff and management meetings Attend marketing and community events when requested Assist Resource Coordinators and other office staff during high\-volume periods when necessary Maintain a professional, organized, and clean office environment Assist with ensuring office common areas, including kitchen/break areas and restrooms, are appropriately maintained Perform additional duties and responsibilities as assigned based on operational needs Required Experience MINIMUM 10\+ YEARS OF RELEVANT PROFESSIONAL EXPERIENCE REQUIRED. Candidates must have significant professional experience in one or more of the following areas: Management or supervision Client services Customer service Office administration and operations Healthcare Developmental services Social services Home care or community\-based services High\-volume employee operations Demonstrated supervisory or management experience is REQUIRED. The successful candidate must have demonstrated experience: Supervising, leading, training, coaching, and mentoring employees Holding employees accountable for performance and assigned responsibilities Managing multiple employees and priorities simultaneously Handling escalated client/customer and employee concerns Addressing employee performance and conduct issues Reviewing and auditing employee work for accuracy and compliance Managing high\-volume operations Meeting strict and time\-sensitive deadlines Resolving problems independently Making sound decisions without requiring constant direction Effectively communicating with employees at multiple levels of an organization Previous experience supervising coordinators, team leads, supervisors, or employees who are responsible for supporting a larger workforce is strongly preferred. Experience working with or supporting individuals with developmental disabilities is strongly preferred. Bilingual Requirement FULLY AND FLUENTLY BILINGUAL – ENGLISH \& SPANISH REQUIRED Applicants MUST be able to READ, WRITE, and SPEAK BOTH ENGLISH AND SPANISH FLUENTLY WITHOUT THE USE OF TRANSLATION ASSISTANCE. This is not exclusively a remote on\-call responsibility. When an urgent operational need, required assignment, or deadline requires in\-person attention, the Supervisor may be required to report to the office outside of regularly scheduled hours, including evenings, weekends, or holidays, as needed. The Supervisor must be available and responsive during assigned on\-call periods and appropriately escalate significant matters to management when necessary. ALL REQUIRED AFTER\-HOURS, WEEKEND, AND HOLIDAY WORK, INCLUDING REQUIRED TIME SPENT WORKING IN THE OFFICE, WILL BE COMPENSATED IN ACCORDANCE WITH APPLICABLE FEDERAL AND CALIFORNIA WAGE\-AND\-HOUR LAWS. All time worked must be accurately reported. Off\-the\-clock work is prohibited. Company Vehicle, Driving \& Travel Requirements A COMPANY VEHICLE WILL BE PROVIDED FOR AUTHORIZED BUSINESS\-RELATED TRAVEL AND ASSIGNMENTS. This position requires travel for company business, including field visits, meetings, employee support, training, marketing events, and other assignments. Because operating a company vehicle is an important responsibility of this position, applicants must: Possess and maintain a valid California Driver's License Have an excellent driving record Be eligible and remain eligible to operate a company vehicle under the company's automobile insurance requirements Provide a DMV driving record covering the previous five (5\) years as part of the hiring process Be comfortable driving throughout the company's service area as required Be comfortable driving mountain roads and mountain communities Be comfortable driving long distances when necessary Follow all company vehicle and driving safety policies Promptly report any accident, citation, license restriction, suspension, or other change that could affect eligibility to operate a company vehicle Applicants whose driving record does not meet the company's automobile insurance or driving eligibility requirements may not qualify for this position. Do you understand that urgent operational needs or deadlines may occasionally require you to report to the office outside of regular business hours, including evenings, weekends, or holidays?
