WHERE YOU FIT INTO THE PICTURE: THE ARCHETYPE We are searching for a highly intuitive, proactively communicative operator to serve as our Executive Assistant / Operations Assistant. This is a role built for someone who is comfortable growing into a new shape over their first 90 days — starting as the Founder's “Second Brain,” and evolving into the execution partner for our incoming Director of Operations (DOO) as our back\-office systems come online. In the beginning, you'll be doing the classic EA work: managing our Founder/Principal’s calendar and inbox, anticipating what she needs before she asks, and protecting her time and focus so she can stay in creative leadership. As the DOO builds and installs the agency's operational infrastructure, your day\-to\-day shifts from direct Founder support toward maintaining and executing the systems the DOO designs — keeping Alison's world running smoothly with far less of your own bandwidth, and freeing the DOO to keep architecting rather than getting pulled into daily execution. You are someone who is happiest “backstage” — and who doesn't need to be the architect of a system to take real pride and ownership in running it well. REQUIREMENTS \& QUALIFICATIONS We hope to hear from you if you possess a proactive, anticipatory mindset, thrive in fast\-moving founder\-led environments, and meet the following standards: Experience: Minimum of 3–5 years supporting a senior executive, founder, or organizational leader in an EA, operations support, or coordinator capacity. Experience in an agency, nonprofit, or other multi\-stakeholder environment is a strong plus. Anticipatory Intelligence: You don't wait to be asked. You monitor, flag, and resolve calendar conflicts, missing assets, and communication gaps before they become problems for the Founder. Adaptability by Design: You're comfortable with a role that changes shape on a defined timeline — deep Founder support now, systems\-maintenance partnership in 90 days — and you can shift your working rhythm and reporting line accordingly. Communication Mastery: Highly polished written communication skills. You can write in the Founder's voice across professional, academic, and community contexts with total accuracy. Systems Fluency: Proficiency in Google Workspace, Slack, Hive, Bonsai, and calendar management. In Phase 2, you follow and maintain the systems the DOO builds rather than architecting your own — comfort taking direction on process is as important as comfort building it. Collaborative Follow\-Through: You're comfortable being accountable to two people over time — first primarily Alison, then increasingly the Director of Operations — without losing clarity on priorities. Discretion \& Trust: You will have access to sensitive financial, personal, and organizational information. Absolute confidentiality and professional discretion are non\-negotiable. Technical Setup: Fully remote capability with access to a high\-speed internet connection and an updated computing setup.
