Job Summary As our Client Care Coordinator, you'll be the friendly first point of contact for prospective and current clients, making sure every interaction feels warm, clear, and welcoming. Your organizational skills will keep scheduling and client communication running smoothly, supporting both clients and clinicians. Our Core Values Authenticity Connection Compassion Celebration What You'll Do Front Desk Support: Provide exceptional support to our practice, assisting with client bookings, payments, and managing intake and consent forms. Client Interaction: Welcome clients via phone, email, and in person, providing clear, compassionate communication from first contact through ongoing care. Scheduling: Manage appointment scheduling in our Electronic Health Record (SimplePractice) and coordinate clinician calendars to keep daily operations running smoothly. Quality Assurance: Ensure administrative tasks are completed accurately, including payment follow\-ups, securing payment information, and uploading secure documents. Office Support: Maintain and manage office and supplies during in\-office days. Ideal Fit Will: Be open to learning insurance verification, benefits explanation, and billing or claims support. No prior experience needed, we'll teach you. To Succeed in This Role You'll excel if you have excellent communication skills and genuinely enjoy being the first point of contact for clients. You're organized, able to think ahead, and comfortable seeing the big picture. You care about helping others and bring that same compassion to every interaction, whether it's with a client or a teammate. What We're Looking For 2\-3 years of experience in client care or customer service, preferably in a medical or mental health office setting. Psychology undergraduate students and graduates are welcome to apply. Comfortable using technology platforms such as Google Workspace and SimplePractice (our scheduling/EHR system). No prior experience with health insurance processes or medical terminology required. We'll train you. Dynamic, detail\-oriented, self\-motivated, and able to work independently and under pressure. Strong professional and compassionate written and verbal communication skills. Comfortable sharing ideas and feedback to help the practice grow.
