We are seeking an experienced Records and Filing Manager to lead the organization, maintenance, and continuous improvement of our digital records system. This role will work closely with department managers and leadership in a remote environment to ensure company documents are accurately categorized, accessible, compliant, and maintained. This position will play a key role in migrating company records while supporting data accuracy, consistency, and process improvement to ensure document management practices are followed across all departments. Core Responsibilities · Manage and maintain company\-wide electronic filing systems · Create and configure document types in Sage Paperless Construction (SPC) · Index, organize, and file documents digitally on a daily basis · Perform ongoing data migration from current document storage platforms into SPC · Collaborate with company leadership to build, establish, and enforce filing standards, naming conventions, and document retention procedures · Build reliable SOP documents and train team members on filing procedures, document retrieval, and records management best practices · Audit records regularly to identify duplicate, outdated, incomplete, or improperly indexed documents. · Learn from VPS managers and executives to understand department\-specific documents · Participate in SOP improvement discussions to identify and recommend how documents should flow · Communicate benchmark progress and challenges clearly to the systems manager and VP of systems Employment Structure · Schedule o Full\-time (40 hours/week), Monday through Friday o Daily core hours for training o Flex hours · Pay Range: $24 \- $30/hour, based on qualifications and experience Required Experience · Minimum of five years of experience as a records and/or file manager or ten years of experience as an assistant manager operating in electronic filing systems · Proven experience organizing, maintaining, and auditing large volumes of business records · Proven experience in developing filing procedures, retention standards, and document control processes · Strong understanding of records management best practices · Preferred certifications: CRM, IGP, PMP, CIP, CRA or similar · Bachelor’s degree in business, technology or a related field is preferred · Experience with Sage Paperless Construction (SPC) and/or pVault is preferred · Industry knowledge in utility construction is a plus Skills · Demonstrated ability to develop, organize, and maintain complex filing and records management systems · Exceptional attention to detail with a commitment to document accuracy · Strong ability to identify inefficiencies, suggest process improvements, and implement procedures · Enjoys performing routine and repetitive tasks · Ability to perform repetitive duties without compromising quality or attention to detail · Proven ability to manage multiple priorities and projects simultaneously · Collegiate\-level written and verbal communication skills · Self\-motivated with the ability to work independently while collaborating across departments · Results\-oriented mindset with a focus on accountability, efficiency, and continuous improvement · Strong commitment and ability to consistently interpret and apply company policies, standards, and established procedures · Maintains the highest standards of confidentiality and professionalism especially when handling confidential and sensitive information · Advanced proficiency in Microsoft 365 and Adobe Acrobat applications Pay: $24\.00 \- $30\.00 per hour Benefits: 401(k) Dental insurance Flexible schedule Health insurance Vision insurance Application Question(s): Do you have a minimum of five years of experience as a records and/or file manager or ten years of experience as an assistant manager operating in electronic filing systems ?
