Reporting Structure Reports to: Chief Clinic Manager – Sanaa Khimji Works directly with: Patient Care Manager – Lori Lang Position Overview The Patient Care Coordinator serves as the central communication and scheduling anchor of the clinic. This role supports patient flow, appointment accuracy, administrative organization, and clear communication between departments. While our clinic departments are multi\-faceted and collaborative, this role maintains primary responsibility for front desk coordination and patient\-facing administrative processes. This is an hourly position with no commission or bonus structure. Core Responsibilities Patient Experience \& Scheduling Answer telephone calls promptly and direct appropriately Schedule and confirm patient appointments accurately Greet and check in patients in a professional, welcoming manner Obtain and update necessary paperwork Collect co\-payments and process payments per established protocol Check out patients and schedule follow\-up appointments Maintain a calm, organized front desk environment Administrative \& Operational Support Monitor and manage daily work emails and tasks Process contact lens orders when patients request (no outbound solicitation) Assist with patient recalls when delegated Communicate medical insurance information to patients as needed (eligibility verification is completed by Virtual Assistants) Respond to medical records requests and coordinate referrals Order and manage office supplies Maintain organization of physical mail, scanning, and document management Support workflow coordination between clinical and administrative teams Pre Testing Support · Greet and prepare patients for exams · Perform clinical workups, including but not limited to: auto\-refraction, lensometry, tonometry, visual fields, muscle testing, pupil exams, Meibomian gland imaging, fundus photos, scans and Neurolens. · Assist with specialty care: Myopia management, Dry Eye Services and Vision Therapy · Accurately document patient history and test results in charts · Communicate clearly with patients about procedures, follow\-ups, and care instructions Performance Expectations Success in this role is defined by: Scheduling accuracy and attention to detail Clear and professional patient communication Timely task management and follow\-through Organized documentation within clinic systems Strong collaboration with leadership and clinical teams Maintaining a welcoming and polished front desk presence Additional Responsibilities Adapt to evolving clinic processes and workflows Demonstrate consistent reliability and punctuality Communicate proactively with leadership when support is needed Participate in cross\-training opportunities when appropriate and aligned with clinic needs Perform additional duties as assigned by leadership Required Skills \& Qualifications Strong verbal and written communication skills Commitment to exceptional customer service High level of organization and attention to detail Ability to manage multiple responsibilities with composure Proficiency with Windows\-based computer systems and Google Suite Knowledge of HIPAA privacy and security regulations Ability to work both independently and collaboratively Professional demeanor with a calm, solution\-oriented approach Physical Requirements Ability to sit or stand for extended periods throughout the workday Frequent computer use and data entry Ability to lift up to 25 pounds (office supply shipments, packages) Ability to move throughout the clinic as needed to assist patients and team members Manual dexterity sufficient for typing, handling paperwork, and processing payments Compensation This is a full\-time hourly position. Compensation is based on experience and skill level.
