Job Overview We are seeking a dedicated and professional Bilingual Receptionist / Administrative Assistant to join our team for 2 weekdays each week and most weekends; weekdays shifts will be at our Sunset Park, Brooklyn Trianing Center and weekend shifts will alternate between our Brooklyn and downtown manhattan locations. This role is essential in providing exceptional front desk support and ensuring smooth communication between our staff and clients as well as to assisting with the administrative and recordkeeping processes of our safety classes. The ideal candidate will speak English as their first langauge and be conversational in Spanish (to answer basic phone caller questions), possess strong administrative skills with great attention to details, be a good team player able to work individually and in a group, and have a friendly demeanor to create a welcoming environment for all visitors. Duties Greet and assist clients and visitors in a courteous and professional manner. Answer phone calls, take messages, and direct inquiries to the appropriate personnel. Perform data entry tasks accurately to ensure client information is up\-to\-date. Handle administrative tasks such as filing, scanning, and organizing documents. Maintain a clean and organized front desk area to promote a professional atmosphere. Assist with clerical duties as needed, including managing correspondence and office supplies. Send and respond to text messages (English and Spanish) Respond to emails (English and Spanish) Prepare classroom for class Check students in for classes Assist instructor with class attendance Online class management Data entry Online filing Create/print ID cards and certificates for students who complete classes Assisting instructors and office managers Coordinate in real\-time with off\-site supervisors and coworkers Skills Strong administrative skills with experience in office environments. Proficient in data entry with attention to detail for accuracy. Excellent computer literacy, including familiarity with office software applications. Experience as a front desk receptionist or personal assistant is preferred. Ability to communicate effectively in both English and Spanish (written and verbal). Strong organizational skills with the ability to multitask in a fast\-paced environment. Friendly demeanor with excellent interpersonal skills to interact with diverse clientele. Ability to follow specific step\-by\-step checklists of tasks Ability to communicate in messaging app with remote coworkers while completing admin tasks. Schedule: 2 weekday shifts at our Sunset Park, Brooklyn location and most weekends, Saturday and Sunday, either at our Brooklyn or lower Manhattan training centers. We are closed on all major holidays.
