Responsibilities Professional verbal and written communication skills, including attention to detail. Coordinate and process documents such as purchase orders, work orders, and project related paperwork. Track and follow up on outstanding items to help ensure timely completion. Reviewing, editing, and managing AIA Contracts and Pay Applications. Coordinating and assembling project close\-out manuals. Exceptional organizational skills with the ability to prioritize and manage multiple tasks effectively. Maintain organized filing systems, data entry, and record keeping, using tools like Microsoft Office, OneDrive, etc. Help with calendar management and scheduling for meetings, appointments, and events with strong time management skills. Perform clerical duties such as proofreading documents, managing correspondence, and ensuring accuracy in all communications. Support office management tasks including supply inventory, ordering materials, and coordinating maintenance or repairs. Help support office operations and special projects as assigned. Required Skills and Abilities Proven experience with office management, clerical tasks, and administrative support in a professional setting. Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, OneDrive), BlueBeam, Adobe, Bluefolder, CompanyCam, Procore, etc. Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment. Bilingual abilities are highly desirable but not a necessity. Understanding of construction terminology and processes required. Proper note\-taking skills are neccessary. Personal assistant or calendar management experience demonstrating reliability and discretion. This job will be in\-person, at different locations, during the first 30 to 60 days of training. Once the team is comfortable, the job will be remote 4 days and Mandatory in\-person meetings every Tuesday. Tuesday’s lunch will be provided.
