Duties Manage and coordinate appointment scheduling for multiple departments using calendar management tools. Answer multi\-line phone systems promptly with professional phone etiquette, directing calls accurately and courteously. Maintain organized filing systems, both physical and digital, including data entry and record keeping using Microsoft Office, Google Workspace, and other office management software. Provide exceptional customer support by addressing inquiries, confirming appointments, and assisting clients or patients with scheduling needs. Support front desk operations by greeting visitors, managing check\-in procedures, and ensuring a welcoming environment. Assist with clerical tasks such as proofreading documents, preparing correspondence, and maintaining accurate records. Handle office management duties including supply inventory, filing systems, and supporting team members with administrative tasks as needed. A scheduling coordinator manages calendars, appointments, and staffing to ensure operations run smoothly. They act as a central logistics hub, coordinating resources, handling rescheduling, and keeping all stakeholders informed of timelines, shifts, and commitments. Residents Appointments: Booking new resident appointments, handling cancellations, and maintaining a full, productive schedule for administrator. Corporate \& Business Executive Support: Managing calendars for managers and executives, arranging meeting venues, and booking travel accommodations. Communications: Sending meeting reminders, fielding emails/calls, and ensuring everyone affected is notified of schedule changes. Education \& Non\-Profits Business Management Certified Nursing Assistant or Experienced Caregiver Key Skills Required Organization: Balancing competing priorities and avoiding scheduling conflicts. Software Proficiency: Using calendar software, project management tools, and spreadsheets. Communication: Communicating clearly with staff, patients, clients, and vendors to resolve issues rapidly. Insurance \& Treatment: Verifying insurance eligibility, explaining treatment plans, and collecting necessary paperwork before visits. Staff Rostering: Assigning nurses, aides, or doctors to shifts and quickly finding coverage for last\-minute call\-outs. Taking call for call offs and covering shifts. Requirements Proven experience in office management or administrative roles with strong organizational skills. Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills. Excellent phone etiquette with experience managing multi\-line phone systems. Previous experience as a medical receptionist or personal assistant is advantageous. Strong time management skills with the ability to prioritize tasks efficiently in a fast\-paced environment. Clerical experience involving filing, proofreading, and calendar management is highly desirable. Knowledge of QuickBooks or bookkeeping experience is beneficial for handling basic financial tasks.
