40 hours per week, Monday\-Friday, 8:30am \- 5pm

PURPOSE: Responsible for maintaining excellent customer service. Greet visitors and address inquiries on the phone. Assist the administrative team with a variety of tasks. Project a positive company image, interact professionally with customers, vendors, program participants, all levels of company management and maintain confidentiality at all times.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

· Manage the front door, welcoming and directing visitors

· Answer telephone, transfer calls, answer and direct NFAR emails, provide information and relay messages

· Responsible for maintaining excellent customer service to participants, supporters, callers, visitors, co\-workers, volunteers and interns

· Manage conference room schedule, including scheduling meetings and preparing rooms for meetings

· Responsible for keeping the office clean, professional and clear of clutter, including sanitizing main touch points and managing sanitizing stations

· Manage inventory of office supplies

· Generate donor acknowledgement/thank you letters and receipts

· Responsible for packing marketing materials for parents support groups, resource fairs and workshops and refilling brochures when they run out

· Assist other administrative staff with overflow work, including word processing, data entry and internet research tasks

· Entering data into Excel spreadsheets, case management system, etc.

· Run errands, when needed (bank deposits, Post Office box, picking up program supplies)

OTHER DUTIES AND RESPONSIBILITES:

· Assist with special events and workshops

· Assist with marketing material, creating flyers

· Flexible, positive and team player attitude

JOB\-RELATED QUALIFICATION STANDARDS:

*KNOWLEDGE/SKILLS/ABILITIES:*

· Knowledge of computers and relevant software applications (including Microsoft Office Suite) required. Capabilities such as Print Merge function necessary

· Willingness to learn new computer programs as needed

· Knowledge of secretarial skills and use of common office equipment

· Knowledge of administrative and clerical procedures

· Knowledge of customer service principles and practices

· Knowledge of Adobe Illustrator and/or Canva (a plus)

*PREFERRED QUALIFICATIONS:*

· Experience working with the neurodivergent community

· A basic understanding of neurodivergence and autism, with cultural awareness and sensitivity to cognitive and socio\-economic diversity

EDUCATION:

· High school diploma or equivalent.

WORK EXPERIENCE:

· Some work experience required.

LICENSES OR CERTIFICATES:

· Must possess or be able to obtain a valid California driver’s license

LANGUAGE SKILLS:

· Must possess excellent written, verbal and interpersonal communication skills and the ability to create, proofread and edit correspondence and written materials.

· Must be able to project a positive company image, interact professionally with participants, supporters, customers, vendors, all levels of company management and maintain confidentiality at all times.

MENTAL DEMANDS:

· Must possess excellent organizational skills, including the ability to handle multiple duties and priorities simultaneously in a fast\-paced environment. Strong analytical skills, follow\-through skills, attention to details and ability to produce work with a high degree of accuracy required.

· Communicate in person and by telephone

· Computer literate in MS Office applications

· Utilize various office machines and copy machine

· Must be able to travel off site to assist with errands.

· Climb one flight of stairs

· May be required to lift and move objects up to 20 lbs.
