Position Summary

Under the general direction of the Director of Operations or their designee, will perform a variety of duties assigned to billing. This position will be responsible for reviewing and processing employee electronic timecards corresponding with the regional center, performing billing related functions multiple respite programs and office locations and other duties as assigned.

Essential Duties

· Ability to process routine and conversion billing in a timely and accurate manner; review and audit all timecards; input respite schedules and mileage into Respite/Billing System; verify client’s authorized hours; substantiate address, time slots and hours; verify parent’s signature; follow\-up and resolve all billing issues.

· Identify, resolve and follow\-up with all incomplete and/or incorrect timesheets ensuring completion and accuracy.

· Responsible for maintaining accurate and reliable e\-billing invoices; follow\-up with all routine and conversion e\-billing issues for designated branch office(s).

· Follow\-up, rectify and process any late billing with vendor, client and/or regional center; accurately process billing and payment discrepancies.

· Maintain ongoing communication with client’s respite service department, the regional center, the client and/or family concerning over usage, billed hours/hour verifications.

· Follow\-up with the respite services department for any reductions, increases hour changes or cancellations.

· Maintain ongoing communication (verbal and written) with respite services department, clients, the regional center, human resources and payroll departments.

· Responsible for posting invoices within the e\-billing system. Follow\-up with on unreported respite hours; accurately submit invoices with “No Service” for appropriate processing.

· Ability to conduct monthly zero\-billing audit for designated branch office(s).

· Identify and confirm client over hours; monitor and follow up with any pending over hours and any related issues.

· According to Company policy (twice per month) will audit paycheck stubs with reviewed time cards ensuring payment accuracy.

· Ability to function appropriately with the designated respite system \& any other related accounting/payroll/billing system; ensuring billing related information is entered and maintained accurately.

· Continuously strive to provide excellent customer service, interpersonal communication and serve as a source of accurate information.

Secondary Duties

· Assist in other administrative areas of the organization when needed.

· When called upon will assist with other billing and payroll duties.

· Accurately performs general clerical functions in a timely and orderly manner.

Education, Experience and Skills Required

  • High school graduate or equivalent (GED)
  • Post\-secondary education in accounting, business administration or related fields of study (preferred).
  • Working experience and knowledge of billing and/or accounting principles.
  • Knowledge of payroll and client management software systems. Proven ability to master multiple software platforms required.
  • Ability to read, write and communicate effectively in English and Spanish.
  • Must possess exceptional organizational skills, be detail\-oriented, and have the ability to work independently and manage time to meet deadlines.
  • Ability to type 30 wpm and do basic business arithmetic.
  • Practical application of Microsoft Suite programs including Access, Word, Excel, and Outlook as well as familiarity with Windows operating system is required.
  • Ability to use standard office machines such as a personal computer, calculator, copier, fax machine, telephone, etc.
  • Must be legally authorized to work in the United States without the need for employer sponsorship now or in the future.
  • Must have reliable transportation.
  • Physical Requirements

    * Stationary Position: Must be able to remain in a stationary position (sitting or standing) at a desk and computer terminal for more than 50% of the workday.

    * Keyboarding \& Repetitive Motion: Frequent use of wrists, hands, and fingers for keyboarding, mouse usage, and operating standard office equipment (copy machines, scanners, telephone systems).

    * Reaching/Handling: Occasional reaching overhead or below the shoulder, grasping, and pinching to manage files, documents, and office supplies.

    * Lifting/Carrying: Ability to occasionally lift, push, pull, or carry materials, packages, or office equipment weighing up to 10–25 pounds.

    * Mobility: Ability to move about the office to access filing cabinets, printers, and communicate with coworkers.

    * Visual Acuity: Close visual acuity is required to perform activities such as preparing and analyzing data and figures, transcribing, and viewing a computer monitor.

    * Communication: Frequent speaking and hearing to exchange accurate information with clients, visitors, and staff, both in\-person and via telephone.

    Environmental Requirements

    * Office Environment: Work is performed in a climate\-controlled, professional office environment.

    * Noise Level: Noise level is typically moderate, consisting of office machinery (printers, computers) and conversational chatter.

    * Interruptions: Frequent interruptions and interaction with staff and visitors.

    * Telecommuting: Position may be performed in a hybrid or remote setting, requiring a suitable home office environment with reliable internet access.

    Scheduling and Availability

    Working hours generally are from 8:00 am to 5:00 pm, Monday through Friday with an hour for lunch. Must be willing and able to work in excess of 8 hours per day and/or 40 hours per week and willing to assist other departments as needed.

    Pay: $19\.50 \- $20\.75 per hour
