Biohabitats is seeking an Operations Assistant to support the day\-to\-day functioning of our Chesapeake/Delaware Bays Bioregion and broader corporate operations.

Role \& Responsibilities

* Chesapeake Office Operations \& BioregionalSupport: Serve as the primary point of coordination for day\-to\-day office operations, including shipping and receiving oversight, front desk support, office organization, vendor coordination, and supply management. Ensure a welcoming environment while supporting meeting logistics and preparation, basic technology troubleshooting, fleet coordination, and professional licensing needs.

* Executive Support: Provide administrative support to leadership, including coordinating travel, scheduling, and expense reporting. Assist with document management, signatures, and other logistical needs to ensure seamless day\-to\-day support for executives.

* Project \& Accounting Support: Support project and accounting functions through data entry, invoice processing, and database maintenance. Assist with project setup, documentation organization, and carbon accounting efforts, while ensuring accurate and timely administrative support across project lifecycles.

* People \& Culture Support: Assist with key people \& culture processes, including onboarding and offboarding, as well as coordinating interview scheduling and candidate communications to support a positive team member experience.

RequiredSkills, Experience, and Knowledge

  • Proficiency in Microsoft 365 applications, including Outlook, Word, Excel, and Teams.
  • Valid driver’s license and ability to support occasional local errands or office\-related tasks.
  • Strong written and verbal communication skills, with the ability to interact. professionally across all levels of the organization.
  • Ability to work both independently and collaboratively in a collaborative environment.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple priorities and follow through on tasks.
  • Strong time management skills and the ability to adapt to shifting priorities in a dynamic work environment.
  • Demonstrated ability to handle sensitive or confidential information with discretion.
  • Basic problem\-solving skills and a proactive approach to identifying and addressing operational needs.
  • Preferred Skills, Experience, and Knowledge

  • Experience with Vantagepoint or similar project\-based accounting and resource management systems.
  • Previous experience in an administrative, operations, or office support role.
  • Familiarity with professional services or consulting environments.
  • Experience supporting accounting processes, data entry, or expense reporting.
  • Comfort with learning new systems and tools to support evolving operational needs.

Education

High school diploma or equivalent required; Associates degree or higher preferred.

Location

Baltimore, MD. Biohabitats provides a flexible, hybrid work environment. During the onboarding period, you are expected to spend at least four days each week in our Baltimore office.
