We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and visitors alike. Responsibilities
- Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi\-line phone systems efficiently, handling inquiries and routing calls accurately.
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading.
- Use Microsoft Office to prepare reports, correspondence, and presentations.
- Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings.
- Assist with bookkeeping tasks using QuickBooks or similar software to support financial recordkeeping.
- Provide excellent customer service by responding promptly to inquiries and supporting client needs with professionalism.
- Assist with social media and promotional material support, including drafting and scheduling approved content, helping create basic client communications and announcements, monitoring engagement, and ensuring all content is accurate, professional, and aligned with firm standards
- Proven office experience with strong clerical skills and familiarity with office management procedures.
- Excellent computer literacy including proficiency in Microsoft Office Suite, Google Workspace, and data entry.
- Strong organizational skills with the ability to multitask effectively in a fast\-paced environment.
- Bilingual abilities are highly desirable to assist diverse clients and team members (English \& Spanish).
- Experience with phone systems, including multi\-line setups, is essential for managing communications smoothly.
- Prior experience as a receptionist will be considered an asset.
- Demonstrated time management skills with the ability to prioritize tasks efficiently while maintaining accuracy in proofreading and filing processes.
