About the Role
We are a growing construction company looking for a sharp, self\-motivated Executive Assistant to work directly with the business owner. The owner wears a lot of hats — running projects, managing trades, dealing with clients, and keeping the business moving — which means the admin side of the business doesn't always get the attention it needs.
Our Assistant of 13 years is retiring and we are looking to replace a valued team mate.
This is a flexible, evolving role. If you're the type of person who can look at a messy inbox, a stack of unanswered messages, and a calendar full of conflicts and think "I've got this" — we want to hear from you. You don't need a construction background, but you do need to be organized, proactive, and comfortable figuring things out on the fly.
The scope of this role will grow and adapt based on your strengths and the company's needs. If you bring skills we haven't thought to ask for yet, we're open to it. The right person will define a lot of what this role becomes.
My specialty is customer, trade partner, and vendor relations. As well as construction problem solving and big picture strategy. What I'm looking for is someone who thrives in a fast\-paced environment. Someone who is assertive, problem solving, and willing to work through challenges to find ways to optimize. I need a right hand person I can count on to help me scale this business.
What You'll Be Doing
Your responsibilities will vary day to day, but will likely include:
Communications \& Scheduling
- Managing and triaging email — flagging what's urgent, drafting replies, keeping the inbox under control
- Scheduling meetings, site visits, and calls — and making sure the owner actually shows up to them
- Following up with clients, subtrades, and suppliers on the owner's behalf
- Answering and routing phone calls or messages as needed
- Organizing documents, contracts, quotes, and permits so things are easy to find
- Tracking outstanding tasks, deadlines, and action items
- Helping prepare invoices, estimates, or basic reports using existing templates
- Data entry and maintaining records (contacts, jobs, materials, etc.)
- Researching suppliers, pricing, equipment, or anything else that saves the owner time
- Keeping job files up to date and organized
- Coordinating schedules between trades, employees, clients, and suppliers
- Helping the owner stay on top of active projects — tracking what's done, what's next, what's stuck
- Assisting with permit applications, municipal correspondence, or insurance documentation
- Taking over recurring tasks so the owner doesn't have to think about them
- Identifying problems before they become urgent
- Suggesting better systems or tools when something isn't working
- Highly organized with strong attention to detail
- Excellent written and verbal communication
- Comfortable working independently with minimal hand\-holding
- Reliable, responsive, and trustworthy with sensitive info
- Proficient with email, calendar tools, and basic office software
- Able to prioritize and switch gears when things change
- Experience supporting a small business owner or entrepreneur
- Familiarity with construction, trades, or project\-based work
- Experience with tools like QuickBooks, Buildertrend, or similar
- Comfortable handling basic bookkeeping or expense tracking
- Social media or basic marketing skills
- Bilingual (English / Spanish) an asset
- A busy, fast\-moving environment — things change, priorities shift, and that's normal
