POSITION SUMMARY

RB Products, Inc. is seeking a highly organized, proactive, and resourceful Executive Assistant to provide comprehensive support to the President \& CEO. This hybrid role serves as a critical partner to executive leadership, managing day\-to\-day administrative operations, coordinating across departments and external stakeholders, and ensuring the CEO’s time and priorities are managed effectively. The ideal candidate is a self\-starter who thrives in a fast\-paced, entrepreneurial environment, exercises strong judgment and discretion, and can anticipate needs before they arise. This position offers direct exposure to executive\-level decision\-making in a growing specialty chemical company.

KEY RESPONSIBILITIES

Executive \& Administrative Support

  • Manage the President \& CEO’s calendar, including scheduling meetings, appointments, and travel across multiple time zones
  • Screen, prioritize, and manage incoming communications (calls, emails, correspondence) on behalf of the CEO
  • Prepare agendas, presentations, reports, and briefing materials for internal and external meetings
  • Draft, proofread, and edit professional correspondence, memos, and documents
  • Handle confidential and sensitive information with the highest level of discretion
  • Anticipate the CEO’s needs and proactively manage priorities without being asked
  • Calendar \& Travel Management

  • Coordinate complex domestic and international travel arrangements, including flights, hotels, ground transportation, and itineraries
  • Manage logistics for customer visits, trade shows, industry events, and facility tours at the Houston and Scottsville, TX locations
  • Process and reconcile travel and expense reports in a timely manner
  • Communication \& Stakeholder Coordination

  • Serve as a primary liaison between the CEO and internal teams, clients, vendors, and business partners
  • Coordinate communication flow between the executive office and department leads across operations, sales, finance, and quality
  • Manage follow\-ups, action items, and deadlines on behalf of the CEO to ensure timely execution of priorities
  • Coordinate with external consultants as needed on behalf of the CEO
  • Operational \& Project Support

  • Assist with special projects, research, and data gathering as directed by the CEO
  • Support meeting coordination including board meetings, leadership meetings, and client presentations
  • Maintain organized filing systems (digital and physical) for executive records, contracts, and key documents
  • Assist with office management tasks and vendor coordination as needed
  • Maintain and update the CEO’s contact database and relationship records
  • REQUIRED QUALIFICATIONS

  • Experience supporting a CEO, President, or Owner in a small to mid\-size company
  • Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent combination of education and experience)
  • Minimum 3–5 years of experience as an Executive Assistant, Senior Administrative Assistant, or in a similar role supporting C\-suite or senior leadership
  • Exceptional organizational skills with the ability to manage multiple priorities, deadlines, and shifting demands
  • Strong written and verbal communication skills with a professional, polished presence
  • High proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Zoom, Teams)
  • Demonstrated ability to exercise sound judgment, maintain confidentiality, and work independently with minimal supervision
  • Strong attention to detail and accuracy in all work product
  • Ability to work on\-site at the Houston, TX corporate office as required by the hybrid schedule
  • PREFERRED QUALIFICATIONS

  • Experience in manufacturing, petrochemical, energy, or industrial environments
  • Familiarity with CRM systems, project management tools, or ERP software
  • Experience coordinating international travel and managing global business relationships
  • COMPENSATION \& BENEFITS

    Salary Range: $65,000 – $90,000 annually, commensurate with experience and qualifications

    WORK LOCATION \& SCHEDULE

    This is a full\-time, hybrid position based out of the RB Products, Inc. corporate office in Houston, TX, with the flexibility to work remotely on designated days. Standard business hours apply, Monday through Friday, 40 hours per week. Occasional extended hours may be required to support executive travel, events, or time\-sensitive business needs. Periodic travel to the Scottsville, TX processing facility may be required.
