JOB DESCRIPTION
DIRECT ACCOUNTABILITY: Accounts Payable Assistant Manager
SUMMARY:
The Accounts Payable Clerk supports the Finance Department of the Museum of Discovery and
Science by performing a variety of clerical and accounting tasks. This role helps ensure accurate
financial recordkeeping and efficient daily operations in alignment with the Museum’s mission to
provide experiential pathways to lifelong learning in science for diverse audiences.
QUALIFICATIONS:
Associate’s degree, bachelor’s degree preferred in accounting, finance, or related field with 1–3 years
of accounting or bookkeeping experience, preferably in a nonprofit environment. Strong knowledge
of basic accounting principles. Proficiency in Microsoft Excel and accounting software (e.g., MIP or
similar). High level of accuracy and attention to detail. Strong organizational and time management
skills. Ability to handle confidential financial information with integrity. Effective written and verbal
communication skills.
DUTIES AND RESPONSIBILITIES:
1\. Oversee the full accounts payable cycle and accounts receivable functions, including invoice
receipt, coding, approvals, and payment processing. Maintain organized and accurate filing
systems (electronic and physical).
2\. Prepare and maintain financial records, spreadsheets, and reports.
3\. Reconcile vendor statements. Support with month\-end and year\-end close by preparing AP
reports, reconciliations, and accruals.
4\. Support payroll processing and employee expense reimbursements.
5\. Assist with budget tracking and financial data entry. Provide administrative support to the
Finance team.
6\. Prepare weekly payment runs, including checks, ACH payments, and other electronic disbursements.
7\. Ensure compliance with nonprofit accounting standards and internal controls.
8\. Assist with audit preparation by organizing documentation and responding to auditor inquiries.
9\. Collaborate with departments to resolve coding, purchasing, and invoice questions.
10\. Train and support AP staff or cross\-functional team members as needed.
11\. Other duties as assigned and qualified.

SUPERVISORY RESPONSIBILITY:
This
WORK ENVIRONMENT:
This job operates in a professional office environment. This role routinely involves standard office
equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

This is a full\-time, non\-exempt, hourly
through Friday, 8:30 a.m. to 5 p.m., however, some evenings or weekends may be required.

REQUIRED EDUCATION AND EXPERIENCE:
Associate’s degree, bachelor’s degree preferred in accounting, finance, or related field with 1–3
years of accounting or bookkeeping experience, preferably in a nonprofit environment.
ADDITIONAL ELIGIBILITY QUALIFICATIONS:
1\. Strong organizational skills, well disciplined, able to work under pressure of many priorities
and meet deadlines.
2\. Must be proficient in MS EXCEL.
3\. Must have class E driver license and own vehicle.
