Position Description

  • Position Overview:

    The Executive Assistant will be responsible for supporting the Executive and Management team and providing general administrative support to the organization. Duties and Responsibilities:

  • Coordinate activities throughout the company to ensure efficiency and maintain compliance with company policy
  • Manage scheduling and travel plans for upper management
  • Manage emails, letters, packages, phone calls and other forms of correspondence
  • Create and update databases and records for personnel and other data
  • Track and replace office supplies as necessary to avoid interruptions in standard front office procedures
  • Ability to handle confidential and sensitive information with discretion
  • Accomplishes routine clerical duties such as typing and filing
  • Greets visitors, answers and screens telephone calls, takes messages, and sets up conference calls as necessary
  • Drafts accurate, professional correspondence, reports, and other documents
  • Prepares comprehensive agendas, memos, and presentations to support meetings as needed
  • Takes meeting minutes and follows up on action items to ensure effective execution of decisions made
  • Directs incoming correspondence to the appropriate division, recognizes patterns and handles matters of a routine nature
  • Communicates objectives, tasks, and decisions to staff on behalf of management
  • Supports leadership with Commissioners Court coordination, training and research
  • Performs other duties as assigned

  • Education and Experience:

  • Bachelor’s Degree from an accredited college or university.
  • Minimum of five (5\) years of experience working in an office environment.
  • Minimum of one (1\) year of experience supporting an A\-level Executive or Manager.
  • Knowledge, Skills, and Abilities:

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.)
  • Excellent interpersonal, communication, verbal, listening, and written communications skills
  • Self\-motivated and excellent problem\-solving skills
  • Ability to establish and maintain effective working relationships and foster teamwork in a diverse environment
  • Ability to work well with the public and all levels of staff members
  • Excellent time management, multitasking, and data entry proficiency
  • Demonstrated capability to plan and prioritize tasks effectively
  • Excellent planning and organizational skills
  • Ability to adapt to changes in day\-to\-day assignments in a fast\-paced environment with a positive attitude
  • Ability to meet multiple deadlines and balance numerous projects in a fast\-paced environment
  • Strong sense of urgency with impeccable organizational skills to meet deadlines and requirements for multiple projects
  • Ability to work effectively in a team or autonomously with accountability
  • Thoughtful use of judgment in managing responsibilities
  • Innovative, proactive, and creative in creating solutions and completing assignments

  • Depends on Qualifications
  • Based on 26 pay periods
  • Employment may be contingent on passing a drug screen and meeting other standards.
