Position Summary
The Intake Housing Coordinator \& Assistant to the Housing Director serves as the first point of contact for new referrals, clients, and partners. This role is responsible for completing all intakes, CES assessments, HMIS enrollments, document readiness, eligibility verification, client scheduling, and coordination, while also providing high\-level administrative and program support to the Housing Director.
This position ensures that clients enter the HPSP program smoothly, files are organized and compliant, and the Housing Director receives accurate information, reports, and operational support.
Primary Responsibilities1\. Intake \& CES Coordination
a. Serve as the primary contact for new client referrals.
b. Conduct intakes, orientations, and eligibility screenings.
c. Complete CES assessments, documentation checklists, and referral packets.
d. Upload all documents into HMIS/Clarity and NFDN internal systems.
e. Maintain a real\-time intake tracker and maintain intake productivity goals.
f. Communicate with Access Centers and CES partners regarding client status.
g. Ensure clients understand program requirements, expectations, and next steps.
2\. HMIS Data Entry \& Compliance
a. Complete all HMIS enrollments, assessments, case notes, and exits in real time.
b. Maintain accurate, timely, and complete HMIS records for all newly enrolled participants.
c. Monitor missing documents, expiring IDs, and pending verifications.
d. Assist in preparing files for monthly HUD/HPSP reporting.
e. Ensure full compliance with HPSP, HUD, and NFDN documentation standards.
3\. Administrative \& Program Support to the Housing Director
a. Manage and organize the Housing Director’s schedule, emails, meetings, and follow\-up tasks.
b. Prepare reports, summaries, and client updates for weekly supervision.
c. Assist with preparing payment requests, W\-9s, uploads, and landlord documentation.
d. Support the Director with program audits, file reviews, and coordination of staff tasks.
e. Draft professional correspondence, letters, and notices as needed.
f. Track client status across the team and flag urgent issues for the Director.
g. Assist with onboarding tasks for new staff or interns.
4\. Client Coordination \& Communication
a. Answer phone calls, emails, and inquiries related to housing assistance.
b. Schedule appointments, inspections, and intake sessions.
c. Provide clear and supportive communication to clients about next steps.
d. Coordinate transportation or document pick\-ups when needed.
e. Ensure clients are prepared for housing navigation by gathering all required documents.
5\. Operational Support
a. Maintain organized digital files, trackers, and documentation systems.
b. Assist with monthly reporting requirements, audits, and quality assurance tasks.
c. Support the Housing Director in implementing workflow improvements and system updates.
d. Assist with landlord communication, unit leads, and basic housing navigation tasks when needed.
e. Support NFDN events, outreach activities, and administrative needs as assigned.
Other Duties as Assigned
Includes occasional field tasks, assisting other NFDN staff, and supporting organizational needs as required.
Schedule
Full\-time (40 hours per week).
Primarily in\-person with limited hybrid flexibility based on program needs.
