We’re Robert C. Davis and Associates (RCDA Consulting), a small, dynamic contact center consulting firm based in Atlanta, Georgia. For nearly five decades, we’ve helped call centers and service\-driven businesses optimize customer experience, sales, retention, and operations. Our team operates virtually across multiple countries, and we’re currently seeking a proactive, reliable Virtual Executive Assistant to replace our longtime EA, who is retiring soon.
This role offers a great mix of executive administrative support, full\-service bookkeeper, payroll processing, and occasional projects—ideal for a detail\-oriented professional who thrives on financial accuracy, organization, and variety in a supportive remote environment.

The only strict requirement is strong availability and responsiveness during Eastern Time Zone (EST) business hours for calls, emails, meetings, and real\-time support.
Communication \& Responsiveness Expectations:
- Core availability during EST business hours, with a strong preference for 8 AM – 5 PM EST overlap.
- Prompt responses to emails and Microsoft Teams messages and WhatsApp (within 1–2 business hours during working hours; same business day for non\-urgent items).
- Proactive tracking of deadlines, tasks, and projects, with timely status updates.
- Reliable high\-speed internet and a quiet, distraction\-free workspace for consistent performance.
- Provide executive administrative support using Microsoft Office tools (Outlook for email/calendar management, Word/Excel for documents and spreadsheets, Teams/Zoom for communication).
- Full\-Service Bookkeeping with U.S. based company
- Create, edit, merge, fill forms, annotate, and organize PDFs using Adobe Acrobat or similar tools.
- Handle bookkeeping in QuickBooks (transaction entry, invoicing, expense tracking, basic reconciliations, and reporting).
- Process payroll using ADP (running payroll cycles, managing deductions/withholdings, employee records, and basic compliance/tax tasks).
- Track and organize projects, tasks, and contracts.
- Spruce up documents (format, polish layout, improve visuals to create professional, high\-quality Word files, PDFs, and other materials).
- Tackle one\-off projects as needed (research, data organization, process improvements, and independent problem\-solving).
- Hands\-on experience with QuickBooks (Online version preferred).
- Proven experience processing payroll in ADP or similar systems (running cycles, deductions, reports, etc.).
- Fluent or native in English
- Strong proficiency in Microsoft Office suite (Outlook, Word, Excel, and Teams).
- Solid skills with PDFs (editing, forms, conversions, and organization).
- Effective project and task tracking with proactive updates to ensure nothing slips.
- Experience formatting and polishing documents to high professional standards.
- Fluent, professional English (both written and verbal).
- Self\-motivated, detail\-oriented, proactive, and highly trustworthy — discretion with sensitive financial and business data is essential.
- Reliable high\-speed internet and a quiet workspace.
- Experience with Ariba (SAP Ariba) or similar procurement/spend management platforms.
- Familiarity with other financial, procurement, or vendor management tools.

- A short note (2–4 sentences): Describe your specific QuickBooks and ADP background (tasks or modules you’ve handled), why part\-time remote work appeals to you, and confirm your EST availability along with your preferred weekly hours.

Hours: Approximately 40 hours per week (part\-time structure with some flexibility to be discussed during interviews).
Compensation: Competitive hourly rate based on experience.
