Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi\-line phone systems, handle incoming calls, and route messages efficiently
  • Maintain organized filing systems, both physical and digital, including document proofreading and data entry
  • Use Microsoft Office Suite and Google Workspace tools for correspondence, scheduling, and report preparation
  • Oversee calendar management, scheduling appointments, meetings, and coordinating personal assistant tasks as needed
  • Perform bookkeeping duties using QuickBooks for invoicing, expense tracking, and basic office management tasks
  • Support customer service efforts by providing timely responses to inquiries and assisting with customer support needs
  • Experience

  • Proven clerical or administrative experience in an office setting with strong organizational skills
  • Familiarity with office management procedures and office equipment operation
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • must be a self starter that keeps busy.
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Demonstrated ability to multitask efficiently while maintaining attention to detail in a fast\-paced environment
  • Personal assistant experience or office experience that includes calendar management and time management skills
