Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette.
  • Operate multi\-line phone systems efficiently, handling inquiries and routing calls promptly.
  • Perform data entry tasks using Microsoft Office, Google Workspace, and QuickBooks for accurate record keeping and bookkeeping.
  • Organize and maintain filing systems, both physical and digital, ensuring easy retrieval of documents.
  • Assist with calendar management and scheduling appointments.
  • Provide customer support via phone or email, addressing inquiries with professionalism and courtesy.
  • Support office management activities including supply inventory, proofreading documents, and coordinating clerical tasks to keep the office running smoothly.
  • Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry skills.
  • Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment.
  • Bilingual (spanish and english) abilities are highly desirable to serve diverse clients and team members better.
  • Prior office experience in clerical roles or as a receptionist is preferred; experience in medical or dental reception is a plus.
  • Demonstrated customer service expertise with excellent phone etiquette and interpersonal skills.
  • Capable of managing time efficiently while prioritizing tasks such as filing, proofreading, and calendar management.
