We are seeking a detail‑oriented and highly organized HR Administrative Coordinator to support day‑to‑day Human Resources operations. This role is essential to onboarding and offboarding, employee records management, payroll support, ADP reporting, and HR system troubleshooting. The ideal candidate is professional, discreet, and comfortable working in ADP Workforce Now in a fast‑paced, multi‑department environment. ESSENTIAL DUTIES AND RESPONSIBILITIES
Onboarding \& Offboarding
- Prepare and process new hire documentation, including offer letters and onboarding paperwork.
- Open IT support tickets and coordinate onboarding and offboarding with IT and other departments.
- Enroll new hires in ADP Workforce Now and ensure I\-9 completion, onboarding module verification within the first week of employment.
- Maintain accurate employee personnel files, both electronic and physical.
- Manage offboarding documentation including resignation letters, exit interviews, supervisor exit forms, termination letters, and ADP updates.
- Employee Records Management
- Maintain and update employee records in ADP Workforce Now and HR systems.
- Update project numbers, contact information, and work email addresses.
- Ensure compliance with data protection and confidentiality regulations.
- Handle confidential information with discretion; unauthorized disclosure is strictly prohibited.
- Process payroll.
- Assist supervisors with time entry and discrepancy resolution.
- Approve time\-off requests and enter project numbers as needed.
- Reconcile time entries against timesheets.
- Maintain payroll documentation in compliance with retention requirements.
- Serve as the first point of contact for employee PTO, payroll, and HR record inquiries.
- Escalate complex issues to HR leadership.
- Support employee recognition programs and company events.
- Maintain employee pay profiles including garnishments, allowances, and reimbursements.
- Track employee visas and work authorizations; run quarterly compliance reports.
- Run standard and ad\-hoc HR and payroll reports in ADP Workforce Now.
- Monitor data accuracy across ADP modules.
- Troubleshoot ADP Workforce Now issues related to onboarding, payroll, timekeeping, and reporting.
- Open and manage ADP support cases and coordinate resolution.
- Reconcile and report monthly ADP invoices to Accounting.
- Assist with job postings in ADP Workforce Now.
- Coordinate interview scheduling with Project Managers.
- Assist with preliminary resume reviews when required.
- High school diploma or general education degree (GED) required.
- Associate’s degree or equivalent experience in Human Resources, or a related field preferred
- Minimum of 12 months of HR or administrative support experience
- Hands‑on experience with ADP Workforce Now strongly preferred
- Strong attention to detail and organizational skills
- Proven ability to handle confidential information with professionalism
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Strong communication, problem‑solving, and multitasking skills
- Proficient computer/office skills (OUTLOOK, MICROSOFT, EXCEL, WORD, etc.)
- Must pass a pre\-employment criminal background check.
- Must pass a pre\-employment Drug and Alcohol Test
- Must demonstrate eligibility to work in U.S.
- Up to three weeks of paid time off every calendar year (15 days total). Eligibility to earn \+1 day every calendar year after employee’s 3\-year anniversary.
