Austin Regenerative Therapy (ART) is a luxury longevity and regenerative medicine clinic at the leading edge of plasma\-based therapies, peptide medicine, and cellular regeneration. Operating under an IRB\-monitored protocol, we serve a high\-net\-worth clientele who expect — and receive — concierge\-level care.
We are scaling. Our founder is a practicing physician, a national speaker and faculty member, an active builder, and an emerging public voice in longevity medicine. The right person in this seat will help make all of that possible.
The Role:
We are hiring an Executive Assistant to the Founder \& CEO — a trusted right hand who will manage Dr. Khanh Nguyen's professional and personal life with discretion, precision, and warmth.
This is not an entry\-level EA role. The founder's days run across patient care, business strategy, national speaking engagements, faculty obligations, influencer collaborations, and active growth planning toward a multi\-location vision. Time is the most valuable currency in this practice — and your job is to protect it.
You will be the gatekeeper, the planner, the fixer, and the calm in the storm. You will know what matters and what doesn't. You will anticipate, not react.
What You'll Own:
Calendar \& Schedule Management
\- Own Dr. Nguyen's calendar end\-to\-end: clinical days, executive meetings, travel, speaking engagements, faculty commitments, podcasts, influencer shoots, and personal time
\- Resolve scheduling conflicts before they reach the founder
\- Build daily and weekly briefings so she walks into every meeting prepared
Travel \& Speaking Logistics
\- Coordinate domestic and international travel for conferences, faculty roles, and speaking engagements
\- Manage every detail: flights, hotels, ground transport, dietary needs, wardrobe logistics, AV requirements, honorarium tracking
\- Build trip dossiers — agendas, contacts, materials, dress code, talking points — delivered before departure
Communication \& Inbox Management
\- Triage email and direct messages across business, faculty, and personal channels
\- Draft polished correspondence on her behalf — patient follow\-ups, faculty replies, influencer outreach, vendor coordination
\- Maintain her professional voice consistently across every channel
Influencer \& External Relationships
\- Coordinate with influencers, content creators, and public relations contacts
\- Schedule shoots, manage deliverables and timelines, track agreements and follow\-ups
\- Be the polished, reliable point of contact representing the founder to her external network
Personal Life Support
\- Manage personal appointments, family logistics, household coordination, and errands as needed
\- Handle gifting, RSVPs, personal travel, and lifestyle support with taste and discretion
\- Be the kind of person who notices when something needs to be done before being asked
Project \& Initiative Support
\- Support active growth and scaling initiatives, including documentation, tracking, and cross\-functional coordination with the COO and team
\- Manage recurring projects: book launch coordination, speaking deck preparation, faculty material organization, content review cycles
\- Serve as a connector between the founder and internal team — translating her direction into action
Operations \& Confidentiality
\- Maintain absolute discretion around clinical, financial, personal, and strategic information
\- Handle sensitive correspondence with the maturity it requires
\- Be a professional ambassador of ART in every interaction
Who You Are:
\- 5\+ years as an EA, Chief of Staff, or senior personal assistant — ideally to a founder, physician, or high\-profile professional
\- Exceptional written communication. You can draft a patient email, a faculty acceptance, and an influencer brief in the same hour, all sounding like her
\- Calendar\-as\-strategy mindset. You don't just book meetings; you protect the founder's energy, focus, and family time
\- High emotional intelligence and discretion. You know what to share, what to hold, and how to navigate sensitive conversations with grace
\- Anticipatory. You see around corners. You handle problems before they reach the founder's desk
\- Composed under pressure. Travel days, last\-minute changes, and high\-stakes commitments do not rattle you
\- Tech\-fluent. Confident with Google Workspace, scheduling tools, project management software, and able to learn new systems quickly
\- Polished presence. You represent a luxury brand in every email, phone call, and in\-person interaction
\- Aligned with the mission. Genuine interest in longevity, wellness, regenerative medicine, or healthcare — not required, but a meaningful plus
*What This Role Is Not:*
\- This is not a remote role. The founder operates primarily out of Austin, and the EA needs to be physically available for clinic days, travel coordination, and in\-person logistics
\- This is not a 9\-to\-5\. The right candidate understands that supporting a founder's life means flexibility — though we deeply respect your time and protect it in return
