Duties

  • Manage front desk operations, including greeting visitors, handling multi\-line phone systems, and providing outstanding customer support.
  • Oversee calendar management, scheduling appointments, meetings, and coordinating events for staff and leadership.
  • Maintain accurate data entry records using tools like QuickBooks, Microsoft Office, and Google Workspace to support bookkeeping and administrative tasks.
  • Organize filing systems, process paperwork, proofread documents, and ensure all administrative records are up\-to\-date and properly maintained.
  • Support office management activities such as supply ordering, facility maintenance coordination, and implementing organizational procedures.
  • Provide clerical assistance including typing correspondence, managing phone etiquette, and supporting personal assistant duties as needed.
  • Assist with bookkeeping tasks, invoicing, and basic financial record keeping to ensure smooth financial operations.
  • Requirements

  • Proven experience in office management or administrative roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and computer literacy.
  • Experience with multi\-line phone systems, front desk procedures, and customer service excellence.
  • Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
  • Knowledge of QuickBooks or similar accounting software for bookkeeping purposes.
  • Excellent time management skills with the ability to prioritize tasks efficiently.
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous.
  • Strong phone etiquette skills combined with clerical experience such as filing, proofreading, data entry, and calendar management.
