- Handle incoming calls using multi\-line phone systems with professionalism and courtesy, ensuring prompt and effective communication.
- Prepare, proofread, and organize documents, reports, and correspondence with accuracy and attention to detail.
- Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office Suite.
- Assist with bookkeeping tasks including data entry, invoicing, and basic QuickBooks accounting functions to support financial accuracy.
- Serve as front desk receptionist by greeting visitors, managing office supplies, and overseeing general office management duties.
- Provide exceptional customer service support by addressing inquiries promptly and professionally, whether via phone or email.
- Support personal assistant responsibilities such as travel arrangements, calendar management, and event planning when needed.
- Coordinate office logistics including filing systems, proofreading documents for errors, and managing confidential information discreetly.
- Demonstrate excellent phone etiquette while handling multi\-line systems to ensure clear communication channels.
- Assist with clerical tasks such as photocopying, scanning, data entry, and maintaining organized records for easy retrieval.
- Proven experience in an administrative or office support role with a strong background in office management or clerical duties.
- Prior experience working as a receptionist—dental or medical receptionists preferred—demonstrating excellent customer service skills.
- Bilingual abilities are highly valued to effectively communicate with diverse clients and team members.
- Proficiency in computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and data entry software.
- Familiarity with QuickBooks or bookkeeping software is a plus for supporting financial tasks.
