Job Summary

Hometown Design\-Build is a growing construction firm seeking a highly organized and numbers\-driven Executive assistant to support our leadership team. This isn’t just a scheduling role—we need a sharp professional who understands the financial flow of a construction project.

The ideal candidate is a self\-starter who thrives in a flexible work environment and has a eye for detail, particularly when it comes to cost\-plus invoicing and accounts payable.

Responsibilities

* Financial Documentation: Prepare and compile detailed cost\-plus invoices, ensuring all receipts, subcontractor bills, and labor hours are accurately accounted for.

  • Manage and coordinate projects, appointments, and meetings using Google Calendar Workspace tools, ensuring all commitments are organized efficiently.
  • Provide support to the design team and project manangers in approving invoices, monitoring material purchases and vendor relationships
  • Support bookkeeping activities utilizing QuickBooks for invoicing, expense tracking, and basic financial recordkeeping.
  • Skills

    * Construction Experience (Preferred): Familiarity with construction terminology, lien waivers, and the "cost\-plus" billing model is a significant plus.

  • Proven experience in executive administrative support or personal assistant roles with strong organizational skills.
  • Proficiency in Google Sheets, Docs, Google Workspace applications, and data entry systems.
  • Familiarity with QuickBooks for bookkeeping tasks; experience with DocuSign is a plus.
  • Strong office management capabilities including filing systems, clerical experience, and front desk operations.
  • Knowledge of construction project processes and basic finance principles is advantageous but not required; willingness to learn is essential.
