Duties

  • Manage front desk operations, greeting visitors with professionalism and warmth while maintaining a welcoming atmosphere.
  • Answer multi\-line phone systems promptly, directing calls accurately and courteously using excellent phone etiquette.
  • Oversee calendar management, scheduling meetings, appointments, and coordinating events with precision.
  • Perform data entry tasks using Microsoft Office, Google Workspace, and QuickBooks to maintain accurate records and financial documentation.
  • Handle clerical duties such as filing, proofreading documents, managing correspondence, and organizing office supplies.
  • Support bookkeeping activities including invoicing, expense tracking, and basic bookkeeping tasks.
  • Assist with office management responsibilities such as maintaining office equipment, managing office inventory, and ensuring a clean, organized workspace.
  • Provide customer support by responding to inquiries via email or phone with professionalism and efficiency.
  • Support personal assistant tasks as needed, including travel arrangements or document preparation.
  • Maintain confidentiality of sensitive information while demonstrating excellent organizational skills and time management.
  • Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and familiarity with QuickBooks is highly desirable.
  • Excellent computer literacy with the ability to learn new software quickly.
  • Strong communication skills in English; bilingual abilities are a plus for diverse environments.
  • Experience working at a front desk or in customer service roles demonstrating exceptional phone etiquette and professionalism.
  • Previous experience in medical or dental reception is advantageous but not required; relevant personal assistant experience is also valued.
  • Demonstrated ability to manage multiple priorities efficiently through effective time management strategies.
  • Attention to detail for proofreading documents and data entry accuracy.
