Discovery Natural Resources LLC is a domestic, onshore exploration and production company with over 1,000 wells in operation in Texas.
The Executive Assistant provides administrative support to the CEO of Discovery Natural Resources, as well as the Leadership Team. This includes, but is not limited to, handling information requests, preparing correspondence, scheduling meetings, managing travel arrangements, preparing presentation materials, and performing other administrative functions as needed to support the CEO and the Leadership team.
Primary Responsibilities

- Schedule and confirm all meetings for the CEO, compile meeting materials, coordinate internal and external meeting logistics and provide assistance with hosting visitors. Maintain complex calendar management for CEO and appointed Leadership Team members, arrange appointments and meetings as needed and ensure they are adequately briefed and prepared with relevant information
- Organize workload and priorities daily with CEO and Leadership Team with minimal supervision
- Oversee company’s 3rd party travel program, Corporate Traveler. Add new users to portal; main contact with DNR account representatives.
- Work with Corporate Traveler to implement annual hotel and car rental pricing updates in to travel system.
- Manage detailed travel arrangements for the CEO, Leadership Team, and Discovery employees
- Assist the CEO and Leadership Team with drafted correspondence and other documentation to specification
- Create and submit expense reports for the Leadership team
- Provide administrative support to the Leadership team including but not limited to calendaring, maintaining business contact information, and planning detailed events
- Ensure quarterly Board meeting logistics are completed in advance to ensure smooth travel and limited interruptions by working with Board members/administrators
- Take lead in coordinating quarterly employee events/logistics to include Town Halls (both in Denver and Texas), Spring event, annual Summer Picnic, annual Rockies game and Holiday event.
- Point of contact for fundraising events with multiple philanthropic efforts throughout the year, track expenditures and manage volunteer opportunities.
- Order and maintain company branded items for events, new hire bags, etc. Work with Office Administrator on annual company store for employees.
- Ensure a welcoming environment for meetings, including catering and technology needs, both on property and offsite.
- Coordinate company credit card program with accounting.
- Assist in preparation of Microsoft Word documents, Excel spreadsheets, and PowerPoint presentations for the CEO and Leadership Team
- As requested, attend meetings, record minutes, and distribute action items. Ensure action items are completed via follow\-up communication. Maintain historical records of meetings for the CEO, Leadership Team and/or other committees
- Serve as a liaison between the CEO and Discovery employees
- Maintain confidentiality in sensitive matters

- Minimum of High school diploma
- Minimum of 5 years of senior executive level administrative experience

- Ability to communicate in a clear, concise, and effective manner both orally and written with all levels in the organization, outside vendors and customers, as well as Board members and consultants
- Proficiency in all aspects of Microsoft Office
- Web based email and calendar familiarity and experience
- Excellent organizational skills

- Prior experience planning/coordinating office moves is desirable.

- Estimated pay range: $90,000 – $110,000 (depending upon experience of the successful candidate)
