The Harris Center for Mental Health and IDD (“The HARRIS CENTER”) is looking for a Administrative Assistant II to join our team. The Administrative Assistant II performs a combination of administrative and/or clerical tasks to support the Mental Health (MH) services at the Harris County Jail. Duties include collaboration with MH jail personnel, individuals in the jail medical services and jail detention division. Primary duties include data input for the physicians, scheduling for medical coverage and managing the schedule for inmate outpatient appointment. The Administrative Assistant II will respond to routine requests and use judgment and initiative (with supervisory consultation) to determine necessary response/action in non\-routine situations.
Your role in action:
- Coordinates and implements business activities necessary to maintain day to day operations inaccordance with organizational/departmental procedures.
- Provides routine office support according to organizational/departmental procedures such as:answering phone, opening, sorting and distributing mail, data entry, filling, photocopying ortransmitting information by facsimile, typing and reviewing correspondence, reports.
- Facilitates unit/divisional conferences and meeting according to departmental/organizationalprocedures (preparing agenda, meeting notices and minutes, set up meetings, arranging speakers,etc.).
- Schedules physician appointments and makes available medical records.
- Collects, compiles, and enters data.
- Complies reports and distributes according to departmental/organizational procedures.
- Maintains records, receives, prepares or verifies documents pertinent to service delivery and/oradministrative operations.
- Provides administrative support for special projects in accordance with departmental/organizationalprocedures.
- Maintains professional behavior and provides excellent customer service to both staff and consumers.
- Demonstrates ethical conduct, professionalism, and confidentiality in all activities.
- Complies with MHMRA and HCSO policies and procedures, accrediting/regulatory bodies andcontractual requirements.
- Performs related work as assigned. Adapts to changing working requirements.
- Works with others in a collaborative manner. Actively participates as a member of the team.
- Acts as a backup for the other support personnel (Executive Assistant and Administrative Assistant II).
- Communicates and works with consumers/visitors/other staff in a manner that demonstratessensitivity to cultural diversities.
- Performs other related duties as assigned.
- 3 years general clerical experience
- Motivated, self\- starter with the ability to work within a fast\-paced environment.
- Good interpersonal and public relations skills required.
- Solid analytical, creative and problem\-solving abilities.
- Able to work well independently
