ROLE SUMMARY:
The Order Coordinator is responsible for managing and executing all aspects of the company’s order operations, including order intake into our ERP, order portal oversight, order fulfillment, retail distribution, and shipping accuracy. This role ensures seamless coordination between internal teams and external partners to deliver orders on time, in full, and with high accuracy. The coordinator also oversees EDI processes, inventory allocation, and retail compliance requirements, playing a key role in driving operational efficiency and customer satisfaction across the enterprise supply chain. Key Responsibilities
1\. Order intake \& order network oversight
- Order Intake \& ERP Management: Ensure all incoming orders are accurately captured and processed in NetSuite ERP, maintaining clean and timely order flow across all channels
- Shopify Integration Oversight: Monitor and maintain Shopify–NetSuite integrations to ensure orders, inventory, and fulfillment data sync correctly and without disruption.
- Marketplace Order Management: Manage order intake and status updates across marketplace portals including FBM, TikTok Shop, and FBA, ensuring orders are routed correctly for fulfillment and customer expectations are met.
- Oversee order lifecycle from receipt to shipment, ensuring accuracy in order entry, system processing, and allocation.
- Align fulfillment operations with demand planning forecasts and capacity constraints.
- Coordinate with warehouse teams on picking, packing, and dispatch accuracy.
- Plan and manage fulfillment of retail and big\-box customer orders, ensuring compliance with routing guides and delivery windows.
- Coordinate advance shipment notifications (ASNs), labeling, and palletization as per customer\-specific requirements.
- Serve as a primary point of contact for Electronic Data Interchange (EDI) workflows, ensuring timely and accurate data transmission for orders, confirmations, shipments, and invoices.
- Troubleshoot and resolve EDI mapping or transaction errors with IT and trading partners.
- Maintain master data integrity across ERP, WMS, and customer systems.
- Act as the point of contact for inquiries related to logistics or order fulfillment.
- Resolve issues such as delivery delays, damaged goods, or incorrect shipments.
- Provide excellent customer service to maintain client satisfaction.
- Work closely with procurement, sales, and warehouse teams to align logistics with business needs.
- Communicate updates or potential issues with other departments.
- Strong understanding of logistics networks, retail distribution requirements, and order management workflows.
- College Degree Required. Proficiency with ERP systems (e.g., NetSuite, SAP), WMS tools, and EDI platforms.
- Excellent communication skills and ability to coordinate across internal teams and external partners.
- Detail\-oriented with strong problem\-solving skills and commitment to operational excellence.
- Demonstrated ability to lead outbound logistics execution in a fast\-paced, high\-volume environment.
- Strong prioritization and decision\-making skills with the ability to balance service, cost, and capacity trade\-offs.
- Experience acting as an operational “quarterback” across warehouse, transportation, and customer\-facing teams.
