Job Overview

We are seeking a dynamic and organized Administrative Assistant to join our team and support our daily operations with enthusiasm and professionalism. Responsibilities

  • Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately with friendly, professional phone etiquette.
  • Manage multi\-line phone systems, screen calls, take messages, and transfer calls accurately.
  • Handle a wide range of clerical duties including data entry, filing, proofreading documents, and maintaining organized records.
  • Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks to prepare reports, spreadsheets, and financial documents.
  • Support calendar management and scheduling for team meetings, appointments, and events with precision and punctuality.
  • Assist with bookkeeping tasks including invoicing, expense tracking, and basic bookkeeping using QuickBooks or similar tools.
  • Provide exceptional customer support by responding promptly to inquiries via phone or email and ensuring client needs are met efficiently.
  • Maintain office supplies inventory and coordinate with vendors for procurement when necessary.
  • Support medical or dental reception duties if applicable, including appointment scheduling and patient check\-in procedures.
  • Perform general office management duties to ensure a productive work environment.
  • Qualifications

  • Proven experience in an administrative or clerical role within an office setting.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and QuickBooks preferred.
  • Excellent organizational skills with the ability to multitask effectively in a fast\-paced environment.
  • Demonstrated experience managing multi\-line phone systems and providing outstanding customer service.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Exceptional phone etiquette and communication skills are essential for interacting professionally with clients and team members.
  • Prior experience as a receptionist or personal assistant is advantageous; familiarity with medical or dental receptionist duties is a plus.
  • Strong typing skills along with attention to detail for proofreading documents accurately.
