Administrative Assistant (Contract)

Summary:
This position offers an opportunity to provide high\-level administrative support to Regional Business Leaders operating across global time zones. The role demands exceptional organizational abilities and the capacity to manage multiple competing priorities simultaneously while maintaining accuracy and professionalism. Working in a dynamic, fast\-paced environment, you will serve as a critical partner to leadership by ensuring seamless day\-to\-day operations, allowing executives to concentrate on strategic initiatives and customer engagement. This position requires someone who thrives in complexity, demonstrates proactive problem\-solving skills, and can anticipate the needs of senior leaders across different regions and business functions.
Job Responsibilities:
- Manage complex calendars for multiple Regional Business Leaders across Asia, EMEA, and USA time zones
- Coordinate comprehensive travel arrangements including flights, accommodations, ground transportation, and itinerary management
- Process and reconcile expense reports with accuracy and attention to detail
- Schedule and coordinate meetings and events across multiple time zones
- Support department financial operations and administrative processes
- Complete special projects as assigned by leadership
- Serve as a liaison between Regional Business Leaders and internal stakeholders
- Maintain confidentiality of sensitive business information and communications
- Minimum 1\-2 years of experience managing multiple busy calendars
- Minimum 1\-2 years of expense management experience
- Minimum 1\-2 years of travel management experience
- Minimum 1 year of Microsoft experience within the last 3 years, with at least 6 months on assignment
- Advanced calendar management across multiple time zones
- Proficiency in expense management systems and processes
- Expert\-level travel coordination and logistics planning
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Proactive problem\-solving and critical thinking capabilities
- Ability to work independently with minimal supervision
- High attention to detail and accuracy
- Flexibility and adaptability in a fast\-paced environment

- Weekly Schedule: 40 hours
