The Role
We are seeking a highly capable Executive Assistant to support the founders and leadership team. This is a high\-impact role that goes beyond traditional administrative support—you will help keep leadership focused, projects coordinated, and operations running smoothly across multiple active jobs.
The ideal candidate is proactive, detail\-oriented, and thrives in a fast\-paced, multi\-project environment. You will act as a central point of coordination across executives, project teams, clients, and vendors.
Key Responsibilities
Executive Support
- Manage complex and dynamic calendars, prioritizing competing demands
- Coordinate meetings with clients, consultants, subcontractors, and internal teams
- Draft and manage professional correspondence and internal communications
- Coordinate travel logistics and detailed itineraries
- Serve as a gatekeeper and liaison for executive communications
- Support active construction projects through documentation, scheduling, and coordination
- Track project deadlines, deliverables, and follow\-ups across multiple teams
- Assist with permits, contracts, and project documentation organization
- Coordinate with project managers, subcontractors, and consultants
- Help ensure clear communication between office and field teams
- Track invoices, expenses, and reimbursements
- Assist with vendor coordination and basic bookkeeping
- Maintain organized filing and document systems
- Assist with company events, meetings, and team coordination
- Build strong cross\-functional relationships
- Take ownership of ad hoc projects and problem\-solving as needed
- 5\+ years experience supporting executives or leadership teams
- Experience in construction, real estate, architecture, or related industries preferred
- Strong organizational and project coordination skills
- Excellent written and verbal communication
- Ability to manage multiple priorities in a fast\-paced environment
- High level of discretion and professionalism
- Proactive mindset with strong problem\-solving ability
- Bachelor’s degree preferred but not required
- Microsoft Office (Outlook, Excel, Word, PowerPoint, Teams)
- Google Workspace
- DocuSign and document management tools
- Familiarity with construction documentation is a plus
- Someone who anticipates needs rather than reacts
- Comfortable working across office and project environments
- Highly detail\-oriented with strong follow\-through
- Calm under pressure and adaptable to changing priorities
