The Role

We are seeking a highly capable Executive Assistant to support the founders and leadership team. This is a high\-impact role that goes beyond traditional administrative support—you will help keep leadership focused, projects coordinated, and operations running smoothly across multiple active jobs.

The ideal candidate is proactive, detail\-oriented, and thrives in a fast\-paced, multi\-project environment. You will act as a central point of coordination across executives, project teams, clients, and vendors.

Key Responsibilities

Executive Support

  • Manage complex and dynamic calendars, prioritizing competing demands
  • Coordinate meetings with clients, consultants, subcontractors, and internal teams
  • Draft and manage professional correspondence and internal communications
  • Coordinate travel logistics and detailed itineraries
  • Serve as a gatekeeper and liaison for executive communications
  • Operations \& Project Coordination

  • Support active construction projects through documentation, scheduling, and coordination
  • Track project deadlines, deliverables, and follow\-ups across multiple teams
  • Assist with permits, contracts, and project documentation organization
  • Coordinate with project managers, subcontractors, and consultants
  • Help ensure clear communication between office and field teams
  • Financial \& Administrative Support

  • Track invoices, expenses, and reimbursements
  • Assist with vendor coordination and basic bookkeeping
  • Maintain organized filing and document systems
  • General Support

  • Assist with company events, meetings, and team coordination
  • Build strong cross\-functional relationships
  • Take ownership of ad hoc projects and problem\-solving as needed
  • Qualifications

  • 5\+ years experience supporting executives or leadership teams
  • Experience in construction, real estate, architecture, or related industries preferred
  • Strong organizational and project coordination skills
  • Excellent written and verbal communication
  • Ability to manage multiple priorities in a fast\-paced environment
  • High level of discretion and professionalism
  • Proactive mindset with strong problem\-solving ability
  • Bachelor’s degree preferred but not required
  • Technical Skills

  • Microsoft Office (Outlook, Excel, Word, PowerPoint, Teams)
  • Google Workspace
  • DocuSign and document management tools
  • Familiarity with construction documentation is a plus

  • $115,000 – $145,000 base salary (depending on experience)
