Position Summary
The Executive Assistant and Office Manager provides high\-level support for the Principal. Serves as liaison between the Principal and other department leads withing the organization. Exercise independent judgment in the resolution of administrative problems. Prioritize and manage multiple projects simultaneously with little or no supervision.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Handle incoming and outgoing phone and electronic communications on behalf of executive management and route incoming calls to appropriate party quickly and efficiently
- Coordinate travel arrangements and reservations for executive management as needed
- Independently create well\-organized, grammatically correct memos and reports for distribution to members of various departments
- Assist with special events planning
- Use various software applications such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate, and/or format data and/or reports
- Assists in the preparation and execution of marketing campaigns, presentations, and proposals.
- Assist in client relations that includes meeting materials, logistics presentations.
- Administers the firm’s invoicing and billing systems.
- Assist in the preparation of the firm’s performance reports and monitoring
- Manages functions of the employee onboarding process.
- Coordinates client onboarding process
- Maintains the company calendar updated with critical dates.
- Coordinates the completion of professional development plans
- Administers the insurance management of the firm
- Manages the accounts payable for the firm
- Responsible for the building management that includes, access set up, ordering supplies, and liaison with facilities maintenance.
- Monitor progress and timelines for strategic projects and follow up with staff to ensure timely deliverables, especially on projects directed by the Principal.
- Maintain and update executive\-level files, organizational charts, policies and other administrative systems in collaboration with leadership.
- Maintain highest level of confidentiality
- Exercise administrative judgment; assume responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional area
- Perform other duties as assigned
- Associate degree required; Bachelor’s degree preferred
- Five years or more experience as an executive administrative assistant in a CEO/President level setting
- Working knowledge of Microsoft Excel, Word, PowerPoint, and Outlook
- Outstanding oral and written communication skills
- Excellent MS Office skills
- Experience with Asana a plus
- Demonstrate interpersonal skills and proficiency in business vocabulary to effectively represent the executive and the company to outside parties
