About the Role:
- We are seeking a detail\-oriented, service\-minded Administrative Assistant II to join our Phoenix office. This role provides essential administrative and operational support to attorneys, contributing to the efficiency and effectiveness of day\-to\-day office operations.
- The ideal candidate is organized, dependable, and proactive, with the ability to manage multiple tasks while maintaining a high level of accuracy and professionalism. They bring strong follow\-through, anticipate routine needs, and look for practical ways to improve administrative processes.

- Provide day\-to\-day administrative support, including calendar coordination, meeting scheduling, document preparation, and correspondence handling.
- Assist with travel arrangements and expense processing, as needed.
- Serve as a point of contact for internal and external stakeholders, responding to inquiries and routing requests appropriately.
- Support firm leaders with administrative tasks and workflow coordination.
- Maintain organized electronic filing systems, ensuring accuracy and confidentiality.
- Assist with onboarding logistics, meeting coordination, and internal team communications.
- Utilize firm systems and Microsoft Office tools (Word, Excel, Outlook, PowerPoint and Teams) to support daily operations.
- Assist with data entry, reporting updates, and maintenance of tracking logs as required.
- Initiate, track, and escalate IT tickets as needed, coordinating with IT to resolve routine system or technology issues.
- Associate’s degree preferred, or equivalent combination of education and experience.
- 2–5 years of experience in an administrative assistant or similar support role, preferably in a professional services or legal environment.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint and Teams).
- Clear, professional written and verbal communication skills.
- Ability to handle confidential information with discretion and professionalism.
- Demonstrated reliability, teamwork, and commitment to providing high\-quality administrative support.
- Experience working in a legal, professional services, or multinational organization is a plus.
