We are seeking a highly organized and detail\-oriented Administrative Assistant to support our daily office operations. The ideal candidate will be proactive, efficient, and capable of handling multiple tasks while maintaining a high level of professionalism.
Responsibilities
- Manage calendars, schedule meetings, and coordinate appointments
- Answer and direct phone calls and emails
- Prepare reports, presentations, and correspondence
- Maintain filing systems and office records
- Assist with data entry and basic bookkeeping tasks
- Order office supplies and manage inventory
- Support team members with administrative tasks as needed
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
- Proven experience as an administrative assistant or in a similar role
- Strong organizational and time\-management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to handle sensitive information with confidentiality
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications for seamless document creation and collaboration.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast\-paced environment.
- Excellent communication skills—bilingual abilities (English and Spanish) are a plus
- Demonstrated clerical experience with data entry, filing, proofreading, and calendar management.
- Exceptional time management skills to handle multiple responsibilities efficiently while maintaining attention to detail.
- Customer service expertise combined with professional phone etiquette to foster positive interactions.
