Duties
- Greet guests warmly upon arrival, creating a positive first impression and ensuring they feel valued and comfortable
- Manage multi\-line phone systems efficiently, directing calls with professionalism and courtesy
- Schedule appointments accurately using computer software, confirming bookings and accommodating special requests
- Maintain organized records of client information, appointment logs, and service details through data entry and filing systems
- Support office management tasks such as inventory tracking, supply ordering, and maintaining cleanliness of the reception area
- Provide exceptional customer service by addressing guest inquiries promptly and resolving any concerns with patience and professionalism
- Assist with administrative duties including proofreading documents, managing calendars, and supporting bookkeeping activities using tools like QuickBooks and Microsoft Office
- Proven experience in front desk operations or office management within a customer\-focused environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, Boulevard, and data entry tasks
- Excellent phone etiquette with experience handling multi\-line phone systems and providing customer support
- Bilingual abilities are highly desirable to serve diverse clientele effectively
- Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast\-paced setting
- Familiarity with clerical tasks such as filing, proofreading, calendar management, and time management techniques
- Personal assistant or administrative experience that demonstrates reliability and attention to detail
- Knowledge of bookkeeping software like QuickBooks or similar tools is a plus
