- Act as the primary right hand to the EOOD, managing high\-volume administrative tasks including complex calendar auditing, expense reporting, and preparing meeting materials or presentations
- Support the EOOD in the execution of domestic and international travel including processing bookings, managing itinerary updates, and ensuring all travel\-related documentation is finalized
- Provide tactical reinforcement for onsite, offsite, and virtual meetings
- Assist the EOOD with logistics, materials preparation, and tracking action items to ensure successful execution
- Take the lead on the "paperwork" of the office—processing new vendor requests and purchasing orders in alignment with company policy to free up the EOOD for higher\-level operations
- Provide high\-level support for calendaring and travel requests for CLO and serve as the interim main point of contact for Board\-facing logistics during leave periods including logistical support for board meetings and events
- Lead end\-to\-end execution of Board meetings, including scheduling, high\-end catering, attendee tracking, and member communications
- Oversee Board\-related expense reimbursements and facilitate timely Director compensation payments
- Maintain the Board Master Calendar, contact lists, and attendance records and facilitate the onboarding process for new members
- Coordinate logistics for high\-touch events, including Board dinners and annual meetings, managing all ground transportation and travel requirements

- 2\+ years of administrative assistant experience supporting VP\-level executives or higher
- Bachelor’s degree or equivalent professional experience
- Experience with Google Workspace, Slack, Zoom, SAP Concur and incorporating use of AI into daily work
- Experience handling confidential senstive information
- Experience assisting multiple executives within a fast\-paced SaaS company
- Possess the "people\-driven" energy to pick up new tools and workflows quickly in a fast\-paced environment
- Proactive problem\-solver who doesn't wait for instructions to add value
- Razor\-sharp attention to detail and the ability to context\-switch between complex tasks without losing momentum
- Experience managing multiple priorities with differing working styles and personalities

What You'll Do
We are looking for a proactive, organized, and people\-driven Administrative Assistant to support the Executive Office Operations Director (EOOD) and the broader Office of the CEO. In this role, you will be a vital extension of the leadership team, handling critical internal day\-to\-day administrative and operational responsibilities.
We are seeking a proactive driver who can think on their feet, learn new processes rapidly, and deliver high\-quality work with minimal supervision. You will use expert coordination, prioritization, and confidentiality to manage complex workloads, ensuring the executive office operates smoothly and efficiently.
This position is an individual contributor role reporting to the Executive Office Operations Director.
