The Executive Assistant serves as the primary point of contact for the President and CEO. The Executive Assistant will also provide executive level support to the SERC Leadership Team as well as assist the Corporate Secretary with duties associated with our Board of Directors obligations. The Executive Assistant will need to exhibit the use of good judgment in a variety of situations, strong communication skills; written and verbal, strong administrative and organizational skills, and the ability to maintain a balance among multiple priorities. The Executive Assistant works independently on projects, from conception to completion, and occasionally must be able to work under pressure to handle a wide variety of activities and confidential matters with discretion.
DUTIES AND RESPONSIBILITIES:
*Executive Support*
- Complete a broad variety of administrative tasks for the President and CEO including managing an extremely active calendar of appointments, completing expense reports, composing and preparing correspondence that is sometimes confidential, arranging complex and detailed travel plans, itineraries and agendas, and compiling documents for travel\-related meetings.
- Plan, coordinate and ensure the CEO's schedule is followed and respected. Provide "gatekeeper" and "gateway" role for direct access to the CEO's time and office.
- Work closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities and following up appropriately.
- Maintain a level of oversight for issues taking place and keeping the CEO updated.
- Provide leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the President, some of which may have organizational impact.
- Successfully completes critical aspects of deliverables with a hands\-on approach, including drafting correspondence.
- Prioritize conflicting needs, handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.
- Prioritize communication with individual board members and the CEO.
- Support the Corporate Secretary and Assistant Corporate Secretary with board meeting preparations.
- Coordinate food and beverage, lodging; acting as hotel liaison, and any related activities for the annual members meeting
- Provide onsite support during quarterly board of directors' meetings, both local and remote
- Assist with scheduling of meetings.
- Assist in coordinating the agenda meetings for senior management and management team meetings as well as off\-sites.
- Associates degree required; bachelor's degree preferred or an equivalent combination of education and experience.
- Strong work ethic.
- 5\+ years' experience supporting C\-Level Executives.
- Proficient in Microsoft Office applications, including Word, Excel, and Outlook, and PowerPoint.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff and board members.
- Expert level written and verbal communication skills.
- Demonstrated proactive approach to problem\-solving with strong decision\-making capability.
- Highly resourceful team\-player, with the ability to also be extremely effective independently.
