Job Summary
Homer Senior Citizens, Inc. (HSC) is seeking a highly organized, professional, and proactive Executive Assistant \& Front Desk Coordinator to support the Director of Operations and Director of Care Services while serving as a key point of contact at the front desk.
This hybrid role blends executive\-level administrative support with receptionist responsibilities and requires a strong ability to manage competing priorities in a fast\-paced, service\-oriented environment. The ideal candidate will demonstrate exceptional attention to detail, sound judgment, and the ability to handle confidential information with discretion. This position plays a critical role in supporting both operational efficiency and quality care coordination across the organization.
Key Responsibilities
Executive \& Administrative Support
- Provide direct administrative support to the Director of Operations and Director of Care Services
- Manage complex calendars, schedule meetings, and coordinate internal and external appointments
- Prepare, transcribe, and distribute meeting minutes with clear documentation of action items
- Assist with coordination of projects, reports, and departmental communications
- Support compliance\-related documentation and organization as needed
- Serve as the first point of contact for visitors, families, and community members
- Answer and route incoming calls with professionalism and strong phone etiquette
- Provide general information and ensure a welcoming, supportive environment for all guests
- Maintain organized digital and physical filing systems for easy retrieval and compliance
- Proofread and format documents to ensure clarity, accuracy, and professionalism
- Assist with event planning and coordination for meetings, trainings, and community events
- Collaborate across departments to support communication and streamline workflows
- Social media support and basic content coordination
- Data entry and administrative support within QuickBooks
- Assist with tracking tasks, follow\-ups, and departmental needs
- Perform other duties as assigned to support organizational operations
- Proven experience in an administrative role, preferably supporting executive leadership
- Experience in healthcare, senior services, or a nonprofit environment is a plus
- Strong proficiency in Microsoft Office Suite and familiarity with tools such as DocuSign
- Excellent typing skills with a high degree of accuracy
- Exceptional organizational and time management skills with the ability to prioritize effectively
- Strong written and verbal communication skills, including proofreading and professional correspondence
- Ability to handle sensitive and confidential information with discretion
- Proactive problem\-solving skills and the ability to anticipate needs
