The Administrative Assistant provides administrative support duties for management and staff of a child support field office. Work involves clerical and technical tasks associated with processing of child support cases. May serve as the liaison for inventory, purchasing, travel, personnel, safety, records management, leave, facilities, and other duties as assigned by management.

Performs purchasing liaison duties

Performs office supply duties

Performs inventory liaison duties

Performs volunteer/intern liaison duties and trains volunteers/interns

May serve as a Notary Public

Performs travel liaison duties

Performs administrative duties for the office

Performs postage coordinator duties

Performs time\-keeping liaison duties

Assists staff with equipment/building maintenance needs

Processes incoming and outgoing mail

Assists management with tracking and monitoring budget

Performs backup money\-handling duties to process child support payments

Serves as backup to the receptionist

Scan and index documents

Review and maintain child support virtual files for accuracy in the Enterprise Content Management (ECM) repository

Performs related work as assigned

Maintains relevant knowledge necessary to perform essential job functions

Attends work regularly in compliance with agreed\-upon work schedule

Ensures security and confidentiality of sensitive and/or protected information

Complies with all agency policies and procedures, including those pertaining to ethics and integrity

Qualifications

Education: Graduation from high school or equivalent

Experience: Three years of full\-time Child Support Program, business administration, complex clerical, secretarial, customer service (or closely related) experience; may substitute bachelor’s degree from an accredited college or university for the required experience on a year\-for\-year basis

Knowledge of office practices and administrative procedures

Skill in using a computer for word processing and data entry/retrieval

Skill in the proper use of punctuation, sentence structure, grammar, and spelling

Skill in handling multiple tasks, prioritizing, and meeting deadlines

Skill in effective oral and written communication

Skill in exercising sound judgment and effective decision making

Ability to receive and respond positively to constructive feedback

Ability to work cooperatively with others in a professional office environment

Ability to provide excellent customer service

Ability to work in person at assigned OAG work location, perform all assigned tasks at designated OAG work space within OAG work location, and perform in\-person work with coworkers (e.g., collaborating, training, mentoring) for the entirety of every work week (unless on approved leave)

Ability to arrange for personal transportation for business\-related travel

Ability to work more than 40 hours as needed and in compliance with the FLSA

Ability to lift and relocate 30 lbs.

Ability to travel (including overnight travel) up to 5%

Ability to type 45 words per minute (Typing test required at time of interview)

PREFERRED QUALIFICATIONS

Skills: Using WordPerfect, MS Word, and MS Excel software programs

Other Language: Ability to proficiently read, write, and speak Spanish
