Role Overview The Operations Coordinator plays a critical role in strengthening the operational foundation of Summerfield Tea Bar. This position supports and partners with the Operations Manager to ensure all locations consistently uphold exceptional customer service, high cleanliness standards, and quality food and beverages.
This role requires a highly detail\-oriented, decisive, and people\-focused professional who is not afraid to identify gaps, make difficult recommendations, and help drive meaningful improvements in structure, performance, and accountability across teams.
The Operations Coordinator is expected to think proactively, communicate clearly and professionally, and contribute to building healthy, productive, and policy\-driven work environments across all locations.
Key Responsibilities
In\-Person Responsibilities
- Attend required office days, leadership meetings, and cross\-department planning sessions.
- Visit store locations as needed to support operational alignment, training initiatives, and issue resolution.
- Support on\-site initiatives such as new store openings, POS updates, training rollouts, and operational changes.
- Collaborate closely with Store Managers and Assistant Managers to reinforce expectations, policies, and standards.
- Partner with Infrastructure, Media \& Marketing, R\&D, and other departments on projects, events, fundraisers, and workspace improvements.
- Assist with addressing operational escalations, staff concerns, or customer\-impacting issues when needed.
- Conduct routine equipment inspections across all locations to assess condition, identify maintenance needs, and ensure proper functioning of all tools and machinery.
- Perform minor hands\-on repairs and maintenance tasks as needed, utilizing working knowledge of tools, measurements, and general trade skills.
- Evaluate the quality and completeness of work performed by contracted handymen and outside vendors, ensuring work meets company standards before approving completion.
- Serve as the primary point of contact for facilities\-related communication, coordinating and following up with vendors, contractors, and internal teams to ensure timely resolution of maintenance and repair needs.
- Review monthly store inspection submissions from each location, including photos and written responses, to confirm standards are being met.
- Identify trends, gaps, or repeat issues from inspections and communicate follow\-up actions clearly to management teams.
- Draft and support monthly Operations reports, including but not limited to: overall store performance summaries, sales, labor, and operational data insights, efficiency reports and cost\-saving initiatives, and Google \& Yelp review analysis with action\-oriented takeaways.
- Review and approve maintenance and facilities\-related budget requests, ensuring all expenditures are justified, competitively priced, and aligned with cost\-saving goals.
- Proactively identify opportunities to reduce operational costs, extend equipment lifespan, and minimize unnecessary vendor spend across all locations.
- Prepare and organize monthly meeting notes, summaries, and follow\-up action items.
- Conduct routine virtual meetings with management teams who hit performance milestones, require additional coaching or corrective action, or need clarification on policies or expectations.
- Support onboarding processes and ensure training materials and documentation remain current, accurate, and aligned with operational standards.
- Audit time entries, operational data, and internal submissions to ensure accuracy, compliance, and follow\-through.
- Track tasks, deadlines, and initiatives using Asana, shared drives, and email communication.
- Maintain a well\-organized and responsive communication pipeline, ensuring all outstanding requests, work orders, and action items are acknowledged, tracked, and resolved in a timely manner.
- Strong understanding of food service operations, safety standards, and multi\-location management.
- Current Food Handler or Food Manager certification required.
- Hands\-on experience with basic facilities maintenance, equipment troubleshooting, and general trade skills including the ability to use standard tools and take accurate measurements.
- Ability to evaluate the scope, quality, and completeness of work performed by handymen and outside contractors.
- Experience reviewing and approving budget requests with a strong emphasis on cost control and responsible spending.
- Exceptionally detail\-oriented with strong organizational and follow\-through skills.
- Excellent communication and interpersonal skills, with the ability to hold difficult or corrective conversations professionally, provide clear and respectful feedback, and maintain strong working relationships at all levels.
- Highly responsive communicator who takes ownership of their communication queue and ensures nothing falls through the cracks.
- Demonstrated ability to analyze performance, identify inefficiencies, and recommend improvements.
- Comfortable enforcing policies and supporting leadership decisions that protect the business and team culture.

- Ability to travel between store locations as needed.
